Full Charge Bookkeeper/ Accountant

Overview: DME Academy is seeking a highly organized, detail‑oriented Senior Bookkeeper / Accounting Manager to oversee the daily financial operations of a fast‑growing, multi‑division academy. This role is the financial backbone of the organization and works closely with leadership and a fractional CFO to ensure accurate, timely, and transparent financial reporting. This is a modern bookkeeping role — focused on review, oversight, and financial operations, manual data entry. The ideal candidate is experienced with QuickBooks Online, comfortable with automation, and able to manage AP/AR, month‑end close, and departmental reporting with precision. Responsibilities: 1. Daily Financial Operations Manage all day‑to‑day accounting activities in QuickBooks Online Oversee automated bank feeds and ensure accurate categorization Review AI‑generated entries for accuracy and completeness Maintain the chart of accounts and ensure proper coding across divisions Monitor cash balances and flag issues proactively 2. Accounts Payable (AP) Process vendor invoices through QBO’s automated bill‑capture system Ensure proper coding by department (Academics, Dorms, Fieldhouse, Sports) Manage approval workflows Schedule payments (ACH, bill pay, checks) Maintain vendor relationships and resolve discrepancies 3. Accounts Receivable (AR) Generate and send invoices for tuition, boarding, camps, and programs Monitor aging reports and follow up on overdue accounts Coordinate with admissions and program directors on billing accuracy Apply payments and reconcile deposits 4. Month‑End Close Reconcile all bank, credit card, and merchant accounts Review and adjust entries as needed Prepare monthly financial statements for leadership and the fractional CFO Ensure all revenue and expenses are properly allocated by division Maintain clean, audit‑ready books 5. Communication & Issue Resolution Follow up with Department heads on expenses paid without memos or explainations Request detailed backup documentation to support charges when necessary 6. Reporting & Analysis Produce monthly P&L by division (Academics, Dorms, Fieldhouse, Sports) Prepare budget vs. actual reports Track program profitability Support leadership with real‑time financial insights Assist with annual budgeting and forecasting 7. Compliance & Documentation Collect W-9 forms and other necessary paperwork from contractors and vendors Maintain organized digital records for all financial documents Initiate and complete vendor setup applications as needed Support annual tax filings and audits Ensure compliance with internal controls and financial policies This is not meant to be an exhaustive list of duties. Qualifications: Required 5+ years of bookkeeping or accounting experience Strong proficiency in QuickBooks Online Experience with AP/AR, reconciliation, and month‑end close Ability to manage multiple revenue streams and cost centers High attention to detail and accuracy Strong organizational and communication skills Preferred Experience in a school, academy, or multi‑division organization Familiarity with automated workflows and AI‑driven accounting tools Experience supporting a CFO or working with a fractional CFO Ability to build and maintain financial dashboards Clear background check and drug screening..
