HR Payroll / Administrative Coordinator
Job Description
Position Summary:Haven Management Services is seeking a detail-oriented and highly organized HR / Payroll Administrator to support our growing portfolio of hotels. This role is responsible for managing end-to-end payroll processing, supporting HR functions, ensuring compliance with state regulations, and maintaining the highest level of confidentiality with employee data. The ideal candidate has strong analytical skills, multi-property payroll experience, and a solid understanding of HR processes within the hospitality industry.Key Responsibilities:Human Resources:Screen and evaluate candidates for multiple hotel properties, coordinating with hiring managers to ensure staffing needs are metConduct and manage background checks and pre-employment processesMaintain and safeguard confidential employee records and HR documentationEnsure compliance with company policies and applicable employment laws, including Texas Workforce Commission requirementsAssist with onboarding and employee record management across multiple locationsPayroll Administration:Process accurate and timely payroll for multiple hotel properties using ADP Run PayrollManage time and attendance systems, ensuring accuracy of employee hours, timecards, and pay codesAudit payroll data, timesheets, and task sheets to ensure completeness and complianceAnalyze payroll reports to ensure alignment with each hotel's labor budget and operational goalsIdentify discrepancies and resolve payroll issues proactivelyReporting & Analysis:Prepare and present biweekly payroll and HR reports directly to the CEOAnalyze labor costs, payroll trends, and variances across propertiesReview hotel task sheets and timekeeping records to ensure operational efficiency and accuracyProvide insights and recommendations based on payroll and workforce dataQualifications:Bachelor's degree in Human Resources, Business Administration, Accounting, or a related field3–5 years of experience in HR and payroll administration, preferably within the hospitality or multi-location environmentHands-on experience with ADP Run Payroll and time management systemsStrong knowledge of payroll reporting, audits, and compliance requirementsExperience working with Texas Workforce Commission guidelines and processesHigh level of discretion and ability to handle sensitive and confidential informationExcellent analytical, organizational, and problem-solving skillsStrong communication skills with the ability to report to executive leadershipProficiency in Microsoft Excel and payroll reporting toolsPreferred Qualifications:Experience supporting multiple hotel properties or similar multi-unit operationsFamiliarity with labor budgeting and cost control in hospitality settingsWork Environment:Fast-paced, multi-property support roleRequires strong attention to detail and ability to manage multiple deadlinesCompensation & Benefits:Competitive salary based on experienceBenefits package (to be discussed during interview process)Haven Management Services is an equal opportunity employer committed to fostering a professional and inclusive workplace.
