The organization offers strong training, internal growth opportunities, and a collaborative team culture.Job Description:The Information Governance – Matter Mobility Coordinator will oversee the end-to-end coordination of client matter onboarding and off-boarding processes. This includes managing the secure transfer of electronic and physical records, coordinating with internal IT and records teams, and ensuring compliance with firm policies and confidentiality standards. The role serves as a key liaison between internal departments, external firms, and transitioning attorneys to ensure accurate, timely, and compliant movement of client information.Key Responsibilities:Coordinate intake and onboarding of client matter data in alignment with established information governance proceduresAct as the primary liaison between departing/joining attorneys, prior firms, and internal operations teamsOversee secure transfer of electronic files, including coordination with IT teams and approved storage systemsSupport organization, indexing, validation, and tracking of physical and electronic recordsEnsure compliance with confidentiality requirements and records retention policies throughout all transfer activitiesMaintain detailed logs, reporting documentation, and tracking systems related to matter mobility processesReview transfer requests for completeness, accuracy, and policy compliance prior to executionCoordinate communications across legal teams, practice groups, and external stakeholdersSupport physical records preparation, shipment, and secure disposition processesIdentify opportunities to improve workflows, efficiency, and reporting within matter mobility operationsProvide guidance and training to internal teams on onboarding/offboarding proceduresQualifications:Bachelor’s degree preferred or equivalent combination of education and experience5+ years of experience in information governance, records management, or similar field (legal or medical records preferred)2+ years of direct experience in matter mobility or attorney transition supportStrong proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and SmartsheetSolid understanding of data structures, databases, and information tracking systemsStrong written and verbal communication skillsHighly organized with strong attention to detailAbility to manage multiple priorities in a deadline-driven environmentStrong critical thinking and problem-solving skillsAbility to work both independently and collaboratively across teamsHigh level of professionalism and discretion when handling confidential informationCustomer service mindset with strong interpersonal skillsAdditional Details:Schedule: Monday–Friday, 8:00 AM–5:00 PMInterview Process: 1 virtual interview with Talent Acquisition followed by 1 in-person interviewStrong onboarding and training program to ensure early success (approximately 1–2 weeks of structured training)Collaborative environment with cross-team coordination and communicationGrowth-oriented organization with opportunities for internal advancementSupportive staffing structure designed to maintain workload balance across teamsPerks:Structured training and onboarding programStrong internal mobility and promotion opportunitiesCollaborative, team-oriented environmentStable workload expectations with operational support resourcesGrowing office presence with modern facilities and strong leadership supportAddison Group is an Equal Opportunity Employer.
