Financial Assistant to the CEO
Overview:We are seeking a highly organized, discreet, and proactive Financial Assistant to the CEO to oversee day-to-day financial operations and provide comprehensive support for personal financial matters. This role combines traditional bookkeeping responsibilities with hands-on personal financial management in a fast-paced, high-trust environment.The ideal candidate is detail-oriented, resourceful, and capable of managing sensitive information with the utmost confidentiality. This individual will work closely with the CEO, financial institutions, and external advisors to ensure seamless financial operations across both business and personal affairs.This is a hybrid position, requiring a minimum of three days per week in-office. The role also requires a high degree of flexibility, including availability outside standard business hours (evenings and occasional weekends), particularly when the CEO is traveling or urgent matters arise.What You'll Do:Bookkeeping & Financial OperationsRecord, categorize, and maintain accurate financial transactionsMonitor and reconcile bank accounts and credit card statementsProcess payments, invoices, and expense reimbursementsManage accounts payable and accounts receivablePrepare monthly, quarterly, and annual financial reportsAssist with tax preparation and coordinate with external accountants and advisorsPersonal Financial SupportLiaise with banks, accountants, and internal financial teams to execute transactionsTrack and manage recurring expenses (utilities, subscriptions, insurance, etc.)Maintain well-organized financial records, including receipts, statements, and key documentsOversee bill payments and ensure timely settlement of all obligationsMonitor and manage important financial deadlines (tax filings, renewals, policy reviews)Respond promptly to time-sensitive or urgent financial matters, including during evenings or weekends when necessaryTax Support & CoordinationOrganize and maintain accurate, audit-ready financial records and documentation to support tax preparationApply a solid working knowledge of tax-sensitive financial items—including expense categorization, income types, and common tax documents (e.g., K-1s)—to proactively identify relevant items and support accurate reportingServe as the primary liaison with external accountants and tax advisors, ensuring timely and efficient communicationTrack and manage key tax deadlines, filings, and estimated payments to ensure full complianceProactively monitor financial activity throughout the year to ensure completeness and readiness for tax reportingWhat You Have:Minimum of 3 years of relevant experience in bookkeeping, financial administration, and tax support or a similar roleExperience supporting executives or high-net-worth individuals strongly preferredWorking knowledge of tax preparation, filings, and coordination with accountants is requiredStrong understanding of both personal and business financial managementExceptional organizational skills and attention to detailHigh level of discretion and ability to handle confidential informationProactive, responsive, and able to anticipate needs in a dynamic environmentStrong communication skills and ability to coordinate with multiple stakeholdersFlexibility and willingness to be available outside standard business hours when neededAdditional NotesThis role is best suited for someone who thrives in a highly personalized, fast-moving environment and is comfortable operating with a strong sense of ownership and accountability. It is not a strictly 9–6 position, and responsiveness during off-hours is expected when urgent situations arise.What We Offer:The annual base salary range for this position is $90,000 to $120,000.
