Benefits: Service Fee: ₱50,000 – ₱60,000 PHP per month (depending on experience) Location: Remote – Philippines Job Type: Full-Time | Day Shift (Sydney, Australia Time Zone) 28 days of paid time offper year HMO coverage Performance-based annual incentive For Immediate Start Essential Requirements: Experienced and comfortable working in a Gsuite environment (Gmail, Google Calendar) Excellent organisation and attention to detail Knowledgeable in Automation Ability to work with Zoom camera open during shift We are looking for a highly organised and proactive Executive Assistant – Operations & Sales Support to support our CEO and Sales Optimisation Manager. This role ensures that strategists attend training, complete their work, follow processes correctly, and are audited consistently—so the CEO never has to chase or check. This is not a typical administrative role. You will enforce execution, maintain operational standards, and ensure accountability across the team. If you thrive on structure, precision, and making things happen, this role is for you. Key Responsibilities: 1. Daily Training & Compliance Attend all daily training sessions. Run roll call and track attendance. Track homework submission and completion. Follow up with strategists via email and SMS until tasks are fully completed. 2. Homework Management Collect and organise all strategist homework. Maintain a daily tracker of submitted, outstanding, and overdue tasks. Proactively follow up with strategists who fall behind. 3. Training Recording & File Management Download daily Zoom training recordings. Correctly name, organise, and upload recordings to Google Drive. Ensure all files and links are accurate and accessible. 4. Calendar Management (CEO Support) Manage CEO’s calendar and protect their time. Filter meeting requests, clarify purpose, and decline or redirect non-essential meetings. Ensure only high-value, necessary sessions remain. 5. Session Verification & Audits Confirm strategists start sessions on time and follow protocols. Audit Zoom sales sessions against scripts and internal processes. Record outcomes, flag breaches, and identify process gaps. 6. Deal & Process Oversight Audit deals in HubSpot and other systems. Categorise deals (Pass / Fail – Yellow Card / Fail – Red Card). Document issues clearly and flag recurring problems. Required Skills & Traits Highly organised and process-driven. Comfortable chasing and holding people accountable. Independent, self-directed, and reliable. Strong attention to detail and follow-through. Professional communication skills, especially in writing. Nice to Have Experience using HubSpot or similar CRM systems. Experience managing calendars and Zoom sessions. Why This Role is Critical Strategists attend training and complete homework on time.
