Job Summary Book Law LLP, a distinguished New York City employment law firm, is hiring a part-time (25 Hours) Administrative Operations Assistant who is highly organized and detail-driven to support daily office operations, billing, client intake, and legal administrative tasks. Responsibilities Administrative & Office Support Monitor communication outlets (phone calls and emails) Perform data entry and administrative support Copy, scan, bind, and prepare documents Provide basic technical support to staff when necessary Document & File Management Format and proofread legal documents Maintain organized digital filing systems (NetDocuments) Perform matter management (Clio) and file clean-up Billing & Financial Support Perform accounts receivable follow-ups Enter attorney time to ensure timely billing when necessary Client & CRM Management Ensure all new contacts and client intakes are entered into systems Maintain school contact lists and related time tracking Perform contact research as needed Court & Legal Administrative Support Upload court e-filings Schedule court dates and related deadlines Marketing & Events Support Coordinate and set up webinars when necessary Qualifications Education: High school diploma or equivalent. Experience: Minimum of 2 years of experience working as an administrative assistant in a law firm. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Proficiency in legal software systems (Clio, Lawmatics, and NetDocuments) preferred Strong organizational and time management skills to balance multiple responsibilities efficiently Experience with office management, clerical duties, data entry, filing systems, and calendar coordination Proven experience with court e-filings (state and federal) Exceptional customer service skills with professional phone etiquette Close attention to detail and accuracy Ability to manage multiple deadlines This role is ideal for someone who thrives in a structured environment, can prioritize effectively, and ensures that operational and legal processes run smoothly and on schedule.
