This role is responsible for managing invoicing, payment tracking, collections follow-up, and maintaining accurate financial records to ensure healthy cash flow and client account management.The ideal candidate is organized, proactive, professional in client communication, and capable of working independently with minimal supervision.Key ResponsibilitiesPrepare and issue client invoices accurately and on scheduleTrack outstanding invoices and follow up on overdue paymentsMaintain organized records of invoices, payments, contracts, and client communicationsReconcile incoming payments with accounting recordsCoordinate with project managers and leadership regarding billing status and payment issuesAssist with monthly accounts receivable reporting and cash flow trackingCommunicate professionally with clients regarding billing inquiries and payment processingSupport bookkeeping and accounting operations as neededIdentify discrepancies and resolve billing issues promptlyMaintain confidentiality of financial and client informationQualificationsPrevious experience in Accounts Receivable, Bookkeeping, or Accounting AdministrationStrong attention to detail and organizational skillsProfessional written and verbal communication skillsProficiency with QuickBooks, Excel, Google Sheets, or similar accounting softwareAbility to manage multiple accounts and deadlines efficientlySelf-motivated and capable of working independentlyExperience in construction, engineering, BIM, or professional services industries is a plusPreferred SkillsFamiliarity with AIA billing or construction invoicing workflowsExperience managing Net-15 / Net-30 payment cyclesUnderstanding of lien waivers, purchase orders, and project-based billingExperience with CRM or project management platformsWork SchedulePart-Time: Approximately 10–20 hours per weekFlexible scheduling available based on workload and deadlinesCompensationHourly compensation based on experience and qualificationsWhat Success Looks LikeInvoices are issued accurately and on timeOutstanding receivables are actively monitored and reducedClient communication remains professional and responsiveFinancial records stay organized and audit-readyLeadership has clear visibility into cash flow and AR status
