Maintenance Coordinator

POSITION SUMMARY. The Maintenance Coordinator is responsible for providing administrative support, coordinating maintenance activities, and maintaining accurate records.To perform this position successfully, an individual must be able to perform each essential duty satisfactorily. Maintain and update maintenance schedules, records, and logs.Prepare and distribute reports, including work order updates, equipment maintenance schedules, and key performance indicators.Manage incoming calls, emails, and requests related to maintenance inquiries.Receive, prioritize, and track maintenance requests in the work order systemAssign work orders to technicians or contractors and monitor progress.Order, track, and maintain inventory of spare parts, tools, and supplies needed for maintenance operations.Coordinate with vendors and suppliers to ensure timely delivery of materials and services.Verify invoices, maintain records of purchases, and assist in budget tracking.Ensure all completed work orders are documented and filed accurately.Track and update departmental objectivesGeneration of regular and service PR in SAPCompletion of GRN for the above PR’sAct as the primary point of contact for internal departments, technicians, and external vendors regarding maintenance needs.Creation of Bid Waivers and other support documentationRespond to emergency maintenance requestsMonitor and manage maintenance budgetsSchedule and coordinate preventive maintenance tasks, equipment servicing, and inspections.All other duties assignedEDUCATION/EXPERIENCE. High School Diploma or GEDCompletion of administrative courses/programs is preferred2-3 years’ experience in an administrative, Coordinator function.Strong computer experience in software applications such as Word, Excel, EDMS, Lotus Notes, PowerPoint and web browsersStrong knowledge and experience on switchboards, photocopy, fax and postage equipmentE.H.S.
