Finance Assistant - Part Time
Job Summary:The Finance Assistant provides essential administrative and accounting support to the Finance Department. This role is responsible for maintaining accurate financial records, processing transactions, assisting with reconciliations, and ensuring compliance with internal controls and organizational policies. The ideal candidate is detail-oriented, organized, and able to handle confidential financial information with professionalism. Payroll knowledge and experience is a plus.Essential Functions and DutiesFinancial Transactions & RecordkeepingProcess accounts payable and accounts receivable transactionsRecord deposits, withdrawals, wires, and other financial transactions accuratelyMaintain organized financial files and documentation for audits and reportingAssist with bank reconciliations and credit card reconciliationsSupport payroll-related tasks as needed, such as processing payroll documentation, tracking payroll changes, and assisting with payroll recordkeeping Data Entry & Reporting Enter financial data into accounting systems and spreadsheetsAssist in preparing routine financial reports and summariesTrack expenses and support budget monitoringVerify accuracy of invoices, receipts, and payment requestsAssist with payroll reporting and reconciliation support as assigned Compliance & Controls Ensure transactions comply with organizational policies, funder requirements, and internal controlsSupport audit preparation by providing documentation and reportsMaintain confidentiality of financial and employee informationMaintain confidentiality and accuracy of payroll and employee compensation data Administrative Support Assist Finance Manager or Controller with clerical and administrative tasksRespond to internal inquiries related to payments or financial recordsCoordinate with vendors, staff, and external partners as neededCoordinate with HR and payroll vendors or systems as needed to support payroll processing and documentation. Required Qualifications High school diploma or equivalent (associate's degree in accounting or finance preferred)1-2 years of experience in bookkeeping, accounting support, or finance administrationProficiency in Microsoft Excel and basic accounting softwareStrong attention to detail and accuracyAbility to meet deadlines and manage multiple tasks Preferred Qualifications Experience in nonprofit, healthcare, or government-funded environmentsFamiliarity with accounting software (e.g., QuickBooks, Sage, NetSuite)Knowledge of basic accounting principles and financial controlsExperience supporting audits or financial reviewsPayroll processing experience or familiarity with payroll systems and payroll compliance requirements Skills & Competencies Strong organizational and time-management skillsClear written and verbal communicationProfessional discretion and integrityAbility to work independently and as part of a teamAbility to handle sensitive payroll and employee compensation information with discretion and accuracy Work Environment Office-basedStandard business hours with occasional deadlines requiring flexibility
