Executive Assistant
Overview: We are seeking a highly proactive, meticulously organized, and bilingual (Mandarin/English) Executive Assistant to provide direct administrative and operational support to a C-level executive. In this role, you will serve as a critical operational partner, ensuring seamless daily execution, cross-functional alignment, and flawless logistical coordination. The ideal candidate thrives in a fast-paced environment, possesses exceptional business acumen, and acts with the utmost discretion and professionalism.Key Responsibilities:Executive Office Operations: Provide comprehensive, day-to-day administrative support to the C-level executive. Assist in executing priorities, tracking deliverables, and maintaining alignment and cross-functional projects.Strategic Calendar Management: Manage and coordinate highly complex calendars, meetings, and appointments. Ensure scheduling strictly aligns with crucial business priorities, proactively anticipating conflicts and resolving scheduling challenges before they arise.Stakeholder Communication: Facilitate seamless communication flow between the executive administration team and internal/external stakeholders, maintaining a polished, highly professional presence in all interactions.Global Travel & On-the-Ground Support: Orchestrate complex domestic and international travel, including flights, accommodations, and meticulous itineraries. Travel with the executive team up to 50% of the time to provide real-time, on-the-ground support, actively managing transit logistics and ensuring smooth transitions.Anticipation & Problem Solving: Anticipate executive needs and proactively manage tasks and follow-ups. Resolve operational issues quickly utilizing sound judgment, scenario-based thinking, and strict prioritization.Confidentiality: Handle highly sensitive, confidential corporate and administrative information with absolute discretion and reliability.Qualifications:Language: Fully Bilingual in English and Mandarin Chinese.Experience: 5+ years of experience supporting C-level or senior executives in a fast-paced, high-pressure corporate environment.Education: Bachelor’s degree required.Travel Flexibility & Stamina: Must be able to travel up to 50% of the time. Work Authorization: Must be legally authorized to work in the United States without sponsorship.
