Branch Administrator Position Overview
As the Branch Administrator, you will play a crucial role in the efficient and effective operation of our branch. You will be responsible for managing a variety of administrative tasks, providing support to the general manager and the larger team, ensuring that prescribed processes and procedures run smoothly. You will report directly to the Director of Administrative Support Services who will support and guide you to success in this role. Your organizational skills and attention to detail will be vital in maintaining our standards and driving desired organizational outcomes.
Billing Administrator Responsibilities
Support the organizations accounts payable/purchasing process
Support the AP team with correct coding to ensure proper job costing and allocation of expenses.
Provide new vendor documents to the A/P team prior to purchasing goods and/or services.
Coordinate with vendor, suppliers, subcontractors in the exchange of needed information
Ensure accurate job costing is captured with systems
Preparing and reviewing month-end and monthly close material as directed by the DASS and General Manager
Assist sales and Account Management team with preparing client proposals, contracts, and correspondence
In coordination with the Billing Specialist ensuring that all specific job costs are reflected correctly within ERP system and answer any questions the A/R team may have in a timely fashion to ensure accurate and speedy billing to our clients.
Other responsibilities would include, but not limited to, office management, document & record keeping, team/vendor/client communication, and other tasks to support the team in general
Billing Administrator Requirements
2- or 4-year degree in business or a related field and/or a minimum of 3 years experience in a business office with accounting related responsibilities
Understanding of standard accounts receivable concepts, practices, and procedures
Previous experience using an ERP system, Aspire preferred
Advanced MS Excel skills with demonstratable experience using analytical features including Pivot Tables & VLOOKUP functions
Excellent communication skills both written and verbal
Strong interpersonal and team working skills
Strong math, analytical and problem-solving skills
Ability to manage multiple projects concurrently
Ability to meet time sensitive goals and achieve results in a dynamic work environment
