📅 Scheduling & Client Support Coordinator (Entry-Level) Location: Onsite Mon-Fri 8:30am-5pm Experience Level: Entry LevelAre you highly organized, customer-focused, and looking to grow your career in a professional healthcare or medical services environment? We’re looking for a Scheduling & Client Support Coordinator to support exam coordination, client communication, and administrative operations. This is a great opportunity for someone with strong customer service skills who enjoys multitasking and working in a fast-paced setting.🩺 What You’ll DoSchedule and coordinate medical examinations using internal systemsCommunicate with physicians’ offices to confirm appointment dates and timesServe as a point of contact for clients regarding:Appointment scheduling and changesPhysician credentials (CVs)No-shows, cancellations, and reschedulesReceipt of medical records and imagesConfirm receipt of records for review referralsPrepare and send daily exam notification lettersRespond to inquiries regarding report status and general informationCoordinate ancillary services such as interpreters, chaperones, transportation, or exam site rentals when neededArrange lodging and/or transportation for out-of-town examineesSubmit invoices or billing issues to Accounting and ensure required pre-payments are receivedProvide administrative and operational support to other offices as neededProcess mail, deliveries, and shipmentsParticipate in training and educational activities as required✅ What We’re Looking For Required Qualifications High school diploma or equivalentAt least 1 year of customer service experience (retail, call center, or similar)Strong computer skills with proficiency in:Microsoft OfficeExcelData entryExcellent verbal and written communication skills Preferred / Nice To Have Experience working in a medical office or healthcare-related environmentAbility to manage multiple phone lines in a high-volume settingTyping speed of 35 WPM or higherStrong attention to detail with a focus on accuracy and qualityAbility to work independently, prioritize tasks, and manage time effectivelyComfortable working under pressure and handling competing prioritiesCommitment to maintaining confidentialityPositive, team-oriented mindsetAdaptability to change, delays, or unexpected situations🌟 Why This Role?Entry-level opportunity with hands-on experience in healthcare operationsProfessional office environment with steady, meaningful workBuild transferable skills in scheduling, coordination, and client communicationSupportive team culture with training and development opportunities Job Type & Location This is a Contract to Hire position based out of Rockford, IL. Pay And Benefits The pay range for this position is $17.25 - $17.25/hr.
