The Academic Department Coordinator (Chemistry/Biochemistry/Biophysics) is a full-time, year-round position. The expected salary range for this job opportunity is: $27 - $32/hour.The salary offered will vary based on a number of factors, including but not limited to relevant education, training, and experience, tenure status, and other nondiscriminatory business considerations. Click here for Benefits Information.Provides comprehensive administrative support in all areas of operation for Chemistry/Biochemistry/Biophysics. The administrative support areas for the two academic programs include the following: support for the chairs and program faculty in carrying out the programs&#39; business; curricular support; event management; budget support, financial transactions, and student employment coordination; communications and office management. The administrative support for the history department includes office and event management. Serves as the first point of contact for both programs and the department on campus and is required to work on campus four days a week when classes are in session.Summary of Responsibilities:Administrative Support in Carrying out Programs&#39; BusinessSupport the chairs and program faculty in both programs in carrying out programs&#39; business according to the academic calendarCoordinate and attend programs&#39; meetings, prepare relevant materials, and take meeting minutes, as appropriateAssist with the programs&#39; external reviews (including self-study)Coordinate programs&#39; annual prizes and fellowships for majorsCurricular SupportUpdate course information in the Course Catalog, CPI/EMS, and WorkdayAssist with course logistics, including course materials and field tripsAssist students and faculty with majors&#39; recordsAssist with thesis and capstone logisticsCommunicate between the program and the registrar&#39;s office regarding courses, majors, graduating seniors, annual prizes, and other academic mattersOutreach and coordination with faculty offering courses for the programsEvent ManagementAssist with the planning and execution of events: Coordinate venues, receptions, and publicity for departmental eventsCoordinate honoraria, travel reimbursements, ground transportation, and accommodations for guest speakersBudget Support, Financial Transactions, and Student EmploymentAdminister and track expenses for program and gift accounts; reconcile monthly expenses; and monitor balances in WorkdayProcess purchase orders, invoices, and reimbursementsMonitor budgets in collaboration with the programs&#39; chairs and director of academic financeCoordinate and maintain student employment and casual hiringCommunications and Office ManagementMaintain programs&#39; website and electronic filesCoordinate the schedules of and stock supplies (including printers) in common space(s)Serve as the liaison between the programs&#39; and diverse community of students, faculty, and staff across campus, Five College community, and the publicMaintain a welcoming, inclusive, and respectful study and work environmentQualifications:RequiredHigh School Diploma or equivalent1 to 3 years of related experienceStrong written and verbal communication, interpersonal, time-management, organizational, and customer-service skillsAbility to take initiative, work independently, and work collaborativelyDemonstrated high level of attention to detailSensitivity to issues of confidentialityFamiliarity with Google Workspace and/or Microsoft Office (or similar platforms)Commitment to working in a welcoming and inclusive communitySuccessful completion of required reference and background checksAn acceptable criminal offender records information (CORI) checkPreferredAssociate&#39;s degreeThree years or more of related experience at a higher education institutionExperience working with Workday or other ERP softwareInterested candidates are asked to submit a resume and cover letter online at https://amherst.wd5.myworkdayjobs.com/Amherst_Jobs.
