Documentation & Process ManagementSummary: Create and maintain comprehensive documentation that enables team efficiency and consistency across agency operations.Responsibilities:Develop and maintain SOPs, process documentation, and playbooks for agency operationsMaintain centralized knowledge base for agency tools and processesDesign training materials and user guides for team membersRequired Competencies:Exceptional writing skills with ability to create clear, concise documentationStrong organizational skills and systematic approach to information management Role 2. Project Coordination & CommunicationSummary: Facilitate information flow between teams and ensure alignment across operations, account and sales. Responsibilities:Serve as primary contact for project intake, resourcing and project timeline developmentLead project kickoffs and project wrap up, including archiving files Track project dependencies and proactively flag risks or delaysIf needed, liaise with vendors, agencies, and contractors on deliverables and timelinesRequired Competencies:Collaborative approach to managing competing priorities Proven ability to manage multiple concurrent projects and meet deadlinesFlexibility and adaptability to changing prioritiesProactive problem-solving skills and resourcefulnessExperience with project management tools (Teamwork, Asana, Monday.com or similar) Role 3. Reporting, Tracking & Performance Monitoring Summary: Maintain systems for tracking activities and provide visibility into team performance through regular reporting.Responsibilities:Track project progress and monitor milestonesMaintain project management systems with accurate, up-to-date informationGenerate reports on resource allocation, team workload, and capacityRequired Competencies:Strong analytical skills with ability to interpret data from multiple sourcesAdvanced proficiency in Google Suite Experience with project management tools (Teamwork) and reporting dashboardsAttention to detail and commitment to data accuracy Role 4. Operations Department Support Summary: Provide insight on department utilization and budgets.
