POSITION GENERAL SUMMARY
Provides accurate technical data entry and development of procedures for the facilities maintenance program used by the Operations department.

Essential Functions
Maintains database for the Operations Department facility maintenance program;
Enters facilities maintenance requests, repairs, and replacements into the facility maintenance program;
Enters expenses into the Operations Department facility maintenance program;
Enters and/or updates building equipment database in the Operations Department facility maintenance program;
Maintain the Department Vehicle Maintenance Master List;
Set up and monitor capital projects in the Operations Department facility maintenance program;
Assists management when needed in following up with maintenance requests to verify requests are completed in a timely manner;
Sets up preventive maintenance parameters for HVAC, electrical, and other mechanical systems;
Initiates and communicates service requests needs for multiple facilities and the entire Operations department;
Works with trade journeymen and maintenance mechanics to develop effective processes and procedures;
Assists with the development of maintenance procedures for various equipment;
Conducts user training for all individuals who will be using the Operations Department facility maintenance program;
Conducts work order audits for accuracy and appropriate classifications;
Assists with the physical inventory of Operations department equipment;
Maintains Department Computer inventory;
Generates complex reports and proofreads documents.
ADDITIONAL FUNCTIONS
Develops and maintains department files;
Assists with special projects;
Performs related functions as required.
Job Requirements
High school diploma or equivalent;
Associate degree from an accredited university preferred;
Three years of administrative experience preferred;
Previous experience working in facilities preferred;
Knowledge of office terminology, practices, procedures, and equipment;
Knowledge of English grammar, spelling, punctuation, and arithmetic;
Knowledge of personal computers and word processing, spreadsheet, and graphics applications;
Knowledge of Microsoft Office software;
Knowledge of facility maintenance or similar data programs preferred;
Ability to use of a personal computer with Microsoft Office software at a proficient level;
Ability to establish and maintain records systems;
Ability to review documents for accuracy, completeness, and compliance;
Ability to perform and navigate in Microsoft Excel at a proficient level;
Ability to compile data and information for reports and compose letters and memoranda;
Ability to communicate effectively verbally and in writing; Ability to maintain effective working relationships with other employees, elected officials, department directors, and the general public;
Ability to maintain confidentiality;
Ability to work independently and as part of a team to accomplish goals;
Ability to work under own initiative;
Ability to perform data entry and type documents and correspondence with a high degree of accuracy.
OTHER REQUIREMENTS
Incumbent must possess and maintain a valid driver's license;
This position has been designated safety sensitive and therefore the incumbent is subject to random drug testing;
The incumbent is subject to criminal records check and fingerprinting.
Work Environment & Physical Demands
Work is performed primarily in an office environment, however, this position may be required to assist with the collection of data from equipment in mechanical rooms and roof top equipment;
The incumbent must have the ability to climb stairs and ladders;
The incumbent is required to stand, stoop, bend, kneel, climb, and work in tiring and uncomfortable positions;
Work is performed inside and outside, and is sometimes dirty, dusty, and greasy.
