Company Description: All-Tech Fuel Systems, LLC is a specialized contractor in the Critical Fuel Oil System industry, as well as vehicle, aviation, and chemical storage facilities. Through it's sister company, Proven Controls, the organization delivers turnkey and design-build construction services. The company is one of few contractors that efficiently installs welded pipe applications and provides in-house manufactured control panels with touchscreens and custom graphics, along with pump sets, filtration/polishing skids, leak detection, liquid level transmitters, annunciators, and alarms with BMS connectivity. All-Tech Fuel Systems is a Licensed Underground Petroleum Storage Tank Contractor, permitted by the Texas Commission on Environmental Quality (TCEQ) to remove and install underground petroleum systems, including soil sampling and contamination reporting. Team members join a highly technical, solutions-driven environment with a strong focus on safety, compliance, and innovation.Role Description The Administrative Assistant is a full-time, on-site role based in Waller, TX, supporting daily office operations and project-related administrative tasks. Responsibilities include managing phone calls and front-desk communications, greeting visitors, routing inquiries, and maintaining a professional and organized office environment. The role involves scheduling meetings, coordinating calendars, preparing correspondence, and assisting with document preparation, filing (electronic and paper), and data entry. The Administrative Assistant may support executives and project managers with reports, tracking project documentation, and organizing records related to permitting, compliance, and field activities. This position also includes ordering office supplies, assisting with basic accounting or invoice processing as needed, and collaborating with team members to ensure smooth, efficient administrative support.QualificationsStrong administrative and clerical skills, including Administrative Assistance and Clerical Skills for organizing documents, managing records, and handling day-to-day office tasks.Professional communication capabilities, including Communication and Phone Etiquette, to interact effectively with internal teams, clients, and vendors.Experience providing Executive Administrative Assistance or supporting managers and project leads with scheduling, correspondence, and document preparation.Proficiency with common office software (e.g., Microsoft Office or similar tools) and comfort with learning industry-specific systems or databases.High attention to detail, strong organizational skills, and the ability to prioritize multiple tasks in a fast-paced environment.Ability to work reliably on-site in Waller, TX, collaborate with cross-functional teams, and maintain confidentiality and professionalism.High school diploma or equivalent required; additional coursework or certification in office administration or a related field is a plus.Prior experience in construction, industrial services, or a similar technical environment is beneficial but not required.
