Launch Your Box - a business coaching membership that teaches business owners how to start, launch, and grow their own subscription box businesses. And Primp & Blow - her newest venture, a blow dry bar in Wichita Falls dedicated to helping women look and feel their best. We are seeking a highly organized and proactive Executive Assistant to provide exceptional support to our CEO. This role is critical in ensuring the smooth operation of the CEO’s office and the broader executive team across all three businesses. Taking the initiative and being proactive comes naturally to you. Easing the CEO’s workload is something you find enjoyment in. You are pleasant, fun, and lighthearted, and a little “colorful” language doesn’t offend you, and you don’t shy away from the team being playfully snarky. You have a natural sense of urgency. When things arise, you’re the first to present and implement solutions. You pride yourself on being resourceful. Before asking a question, you naturally look for ways to find the answer independently. You have a great work ethic, and have mastered time management. You don’t just bring problems or issues to the table, but you also bring creative solutions to them. You are able to clearly and effectively communicate with a minimal amount of words, even if that means communicating things in smaller chunks. You are highly adaptable and driven. You take pride in committing to your work and the integrity you bring to your role. RESPONSIBILITIES Email and Communication Filtering: Regularly check and prioritize incoming communications to ensure the CEO addresses only the most critical items. Organize non-actionable emails into appropriate folders. Meeting Coordination & Leading: Schedule, organize, and lead meetings, ensuring they are necessary and productive. Calendar Management: Maintain a clear and organized calendar, balancing work and personal commitments. Work with the project manager to ensure all project timelines align with the CEOs availability. Travel Planning: Arrange all aspects of travel, including itineraries, accommodations, and transportation. Event Planning & Attendance: Organize and oversee company events, ensuring they align with business goals and the CEO's availability. Financial Monitoring: Keep an eye on expenses and budgets related to the CEO's activities and office. Time Management: Continuously look for ways to make the CEO's schedule more efficient. Networking Coordination: Work with the Partnerships Manager to coordinate incoming networking opportunities, aligning them with business priorities. Personal Appointments: Handle personal appointments to ensure a balanced lifestyle for the CEO. Confidentiality Management: Safeguard sensitive information, ensuring privacy and security. Task Prioritization: Regularly assess tasks and priorities to align with the CEO's strategic goals. Team Communication: Act as a liaison between the CEO and other staff members or departments. Feedback and Reporting: Gather and relay relevant feedback or reports to the CEO for informed decision-making. Problem-Solving: Anticipate and address potential issues before they reach the CEO, ensuring smooth operations. HR: Manage all confidential employee & contractor documents and contracts. Administer employee payroll and benefits. Ensure that operational processes are properly documented and that key information is organized, accessible, and secure (example: PTO/Vacation requests & tracking). Hiring: Manage recruitment processes including, job descriptions, job postings, interviews, onboarding and offboarding. Perform interviews alongside the project manager, notating all details and reporting back to the CEO. QUALIFICATIONS: Recent experience in administrative support, reporting to one or more executives Highly proficient in Google G-Suite Apps Ability to think creatively, problem solve, and adapt to changing circumstances Excellent written and verbal communication & interpersonal skills Strong organizational and time management skills Job Type: Full-time Application Question(s): Please describe your experience in Administrative Support.
