Executive & Personal Assistant
Location: Northern Kentucky
Employment Type: Full-Time, Non-Exempt
C ompensation: $55,000 – $75,000 (commensurate with experience) + Overtime Eligibility
Role Overview
The Executive & Personal Assistant provides comprehensive support to the Owner across both professional and personal domains. This role is designed for a proactive, high-trust professional who can seamlessly transition from managing complex business operations to coordinating personal household logistics. The ideal candidate acts as a "force multiplier," anticipating needs before they arise and ensuring the Owner’s time is focused on high-priority strategic initiatives.
Key Responsibilities
Business Support (Executive Assistant Functions)
Calendar & Inbox Management: Serve as the primary gatekeeper for the Owner’s schedule and email; prioritize requests, resolve conflicts, and ensure daily preparation for meetings.
Project Coordination: Assist with tracking milestones for business initiatives, such as software implementations or marketing projects, ensuring deadlines are met across the team.
Client & Vendor Liaison: Act as the professional point of contact for clients, legal/accounting professionals, and contractors; manage correspondence and follow-ups with discretion.
Technical Optimization: Utilize and maintain productivity tools (e.g., Microsoft 365, CRM systems, and AI-driven administrative tools) to streamline office workflows.
Document Preparation: Draft, edit, and proofread professional correspondence, reports, and presentations with high attention to detail.
Personal Support (Personal Assistant Functions)
Household Operations: Coordinate residential maintenance, landscaping, and repair services; manage household inventory and supplies.
Errands & Concierge Services: Handle personal shopping, gift sourcing, dry cleaning, and specialized errands as needed.
Travel Planning: Research and book complex domestic and international travel itineraries, including flights, lodging, ground transportation, and dining reservations.
Event Coordination: Plan and execute small-scale professional or family events, managing everything from venue selection to vendor payments.
Financial Administration: Assist with personal bill payments, expense tracking, and organizing documentation for tax preparation.
Qualifications & Requirements
Experience: 3–5+ years in a high-level administrative, executive assistant, or hybrid personal assistant role.
Technical Proficiency: Advanced knowledge of Microsoft Office Suite and specialized project management software; tech-savviness and an interest in utilizing AI to improve efficiency are highly valued.
Discretion: Proven ability to handle sensitive professional and personal information with the highest degree of confidentiality.
Mobility: Valid driver’s license and a reliable vehicle for local errands (mileage will be reimbursed at the standard IRS rate).
Communication: Exceptional written and verbal communication skills; ability to represent the Owner professionally to diverse audiences.
Soft Skills: High emotional intelligence, adaptability to changing priorities, and a "no task too small" mentality.
