This position oversees front office functions, supports providers and staff, and ensures patients and families receive professional, efficient, and courteous service at every point of contact.Roles And ResponsibilitiesOversee daily front office operations to ensure a professional, organized, and welcoming experience for patients, visitors, staff, and providersSupervise scheduling and intake processes, ensuring appointments, referrals, and encounter documentation are completed accurately and efficientlyMaintain accurate patient records, including demographics, insurance eligibility, and benefit verification, while proactively addressing coverage issues with patients and providersManage prior authorization processes by coordinating with insurance payers, securing approvals for tests and procedures, and communicating authorization delays or coverage concerns to physicians and staffPromote operational efficiency by prioritizing tasks, monitoring workflow, and reviewing documentation for accuracy and completenessOversee financial accountability of front office operations, including daily cash and payment entries, balancing, and preparation of depositsProvide leadership and clear communication between patients, staff, and physicians to foster a positive, efficient, and collaborative clinic environmentEnsure strict compliance with confidentiality policies and all applicable regulations, including HIPAA standardsQualificationsHigh school diploma or equivalent required; Associate’s or Bachelor’s degree in Business, Healthcare Administration, or a related field strongly preferredProven ability to lead, supervise, and coordinate staff and office operations in a professional healthcare or business environmentStrong written and verbal communication skills with the ability to interact effectively with patients, families, providers, and staffPrevious medical clinic or healthcare office management experience preferred; general office administration experience requiredDemonstrated customer service excellence and problem-solving skills with a patient-focused approachAbility to analyze and interpret insurance benefits, manage billing workflows, and perform basic mathematical and financial tasksKnowledge of medical terminology and front office healthcare operationsThorough understanding of confidentiality standards and full compliance with HIPAA regulationsProficiency in typing (40+ WPM) and experience using office software and EMR systemsPreferred SkillsLeadership & Communication: Strong interpersonal skills to guide staff, collaborate with providers, and build trust with patients and familiesCritical Thinking & Problem-Solving: Ability to assess workflow needs, prioritize competing responsibilities, and make informed decisions that support clinic efficiency and patient outcomesCompassion & Professionalism: Maintains empathy for patients while confidently managing staff and front office operationsTechnical Proficiency: Skilled in EMR systems and office software, with the ability to train and support staffInsurance & Authorization Expertise: Experience verifying coverage, interpreting insurance benefits, and managing prior authorizations to reduce delays and optimize patient access to carePowered by JazzHR8wa8DGFLFv
