The position is responsible for coordinating timelines, vendor activities, event logistics, and cross-functional communication between internal departments and external partners. The role requires consistent attention to detail and the capacity to manage multiple concurrent workstreams.Essential Duties and ResponsibilitiesProgram CoordinationMaintain project timelines and track deliverables across marketing, enrollment, vendor, and compliance workstreamsIdentify and escalate delays or risks to leadership in a timely mannerSchedule and coordinate meetings, prepare agendas, and document follow-up itemsMaintain organized program documentation, collateral, and recordsCommunity Outreach and Event SupportSupport on-site activities at partnering institutions and schools, including enrollment booths, community eventsDistribute program materials and promotional itemsRespond to inquiries from community members, parents, and partner staffCoordinate with partner contacts to advance engagement effortsVendor and Logistics ManagementInitiate and track purchase orders for printed materials, promotional items, banners, and membership cardsCoordinate production and delivery timelines to ensure availability in advance of scheduled eventsMaintain vendor records and invoicesMarketing and Digital CoordinationSupport coordination between internal and external marketing, design, and digital resourcesAssist with newsletter placements, direct mail coordination, and event calendar managementTrack inventory of collateral and promotional materialsData and ReportingMaintain program records and enrollment dataPrepare reports on enrollment volume, outreach activity, and program metricsSupport data collection efforts for monthly and quarterly program reviewsBehavioral StandardsTreats everyone as their customer; utilizes scripting and other tools to ensure consistency in customer service; Expresses recognition and shows appreciation to others; fully utilizes AIDET principles; responds quickly to handle requests, complaints, and questions; displays a positive attitude.Communication/Knowledge:Wears name tag properly; follows dress code policy; answers phone correctly and promptly; is prepared for meetings; meets deadlines; does not participate in gossip; acts ethically and treats others with respect; respects customer's and co-worker's time; establishes and maintains effective relationships with customers and co-workers.Excellent communication skills both written and verbal. xmcpwfuCollaboration/TeamworkAttends staff meetings; follows HIPAA guidelines; follows patient rights policy; complies with the compliance program; demonstrates knowledge of role in a disaster; demonstrates knowledge of fire and fire drill procedures; working knowledge of hospital emergency codes; always utilizes standard precautions in the clinical setting; safely manages the environment of care by demonstrating a working knowledge of the requirements of the: Life Safety program, Utilities Management program, Hazardous Materials program, Emergency Preparedness program, Safety Management program, Medical Equipment Management program, Security Management program.Requirements:Minimum QualificationsBachelor's degree or equivalent combination of education and experienceStrong organizational skills and attention to detailDemonstrated ability to manage multiple priorities under deadlineEffective written and verbal communication skillsProficiency with Microsoft OfficeValid driver's license and reliable transportation for off-site workAvailability for occasional evening and weekend eventsProfessional demeanor appropriate for community-facing workPreferred QualificationsAcademic or professional background in public health, nonprofit management, communications, business administration, or a related fieldFamiliarity with the East Dallas communityExperience with CRM, project management, or enrollment software (Salesforce)Bilingual proficiency in SpanishPrior internship or work experience in healthcare, nonprofit, education, or community engagement settings
