This role ensures technicians, equipment, materials, and subcontractors are scheduled efficiently to support safe, timely, and cost-effective service delivery for customers.Job ResponsibilitiesScheduling & Dispatch CoordinationSchedule field technicians and subcontractors for service calls, troubleshooting, startups, PMs, installations, and emergency callouts. Coordinate daily, weekly, and long-term schedules for VFD and pump service operations. Prioritize work orders based on customer urgency, production impact, safety, and operational requirements. Adjust schedules in real time due to emergencies, equipment failures, weather delays, or manpower changes. Maintain on-call rotation schedules for after-hours support. Work PlanningReview incoming work orders and verify scope of work, labor requirements, parts and material availability, required tooling and test equipment, safety requirements and permits, and customer site requirements. Develop job plans and ensure field crews have all required information before mobilization. Coordinate with warehouse and purchasing teams to ensure parts and equipment availability prior to dispatch. Track lead times for critical VFD, motor, and pump components. Customer CommunicationServe as a primary scheduling contact for customers. Communicate arrival times, delays, project updates, and scheduling changes professionally and promptly. Coordinate shutdown windows and startup schedules with customer operations personnel. Ensure customer expectations are managed throughout the service process. Operations Support Coordinate with Operations Managers, Project Managers, and Service Managers regarding manpower planning and workload balancing. Monitor technician utilization and productivity. Assist with planning large projects, shutdowns, and multi-day field operations. Support emergency response coordination for critical equipment failures. Documentation & ReportingMaintain accurate scheduling records, work orders, and service logs within company systems. Ensure all field tickets, timesheets, and job documentation are submitted properly and on time. Track job status from dispatch through completion. Generate operational reports including technician utilization, open work orders, backlog tracking, downtime tracking, and PM scheduling compliance.
