Day‑to‑DayThe Process Documentation & Workflow Specialist will partner directly with the Director of Research Finance and cross‑functional stakeholders across Finance, Grants & Contracts, Supply Chain, and Central Finance to document and clarify how work is actually performed in a post‑Workday go‑live environment.This role is highly execution‑focused. The consultant will spend most of their time conducting process discovery sessions, translating conversations into clear, detailed swim‑lane process maps, and producing usable documentation that shows ownership, handoffs, and decision points across teams.Key responsibilities include documenting current‑state (“as‑is”) workflows, identifying gaps between expected and actual system functionality, and supporting future‑state improvements. While some training and knowledge‑transfer support may be required, this is not a training‑heavy role. The primary value is strong, visual process documentation.Must Haves-Demonstrated experience creating robust swim‑lane process flow diagrams-Strong understanding of end‑to‑end process thinking, including handoffs, ownership, and decision points-Hands‑on experience documenting cross‑functional workflows-Experience using Workday in a business or operational context (finance, expenses, invoicing, grants, etc.)-Clear and confident communicator (written and verbal)-Ability to work independently, remotely, and in ESTPlusses-Exposure to finance‑related workflows-Experience in healthcare, higher education, or research environments-Exposure to grants and contracts processes (no deep compliance expertise required)-Strong Excel or spreadsheet skills (data manipulation, lookups, analysis)-Background in process improvement, operations, or business analysis-Experience developing SOPs, job aids, or training materials tied to workflows
