As a small business, we offer a collaborative and hands on environment where team members can contribute across multiple areas and grow within the organization.Position Overview:We are seeking a detail oriented Administrative Assistant with 1 to 5 years of experience to support internal back office functions. This role focuses on administrative coordination, HR support, billing activities, and light talent acquisition support. The ideal candidate is organized, proactive, and comfortable working across multiple administrative functions.Key Responsibilities:Provide day to day administrative support across internal teamsAssist with billing, invoice processing, expense tracking, and travel invoice managementSupport HR functions including onboarding coordination, employee documentation, and record maintenanceMaintain accurate and organized files, reports, and internal documentationAssist with payroll coordination and basic compliance documentationSupport talent acquisition efforts including interview scheduling and candidate coordinationCoordinate calendars, meetings, and internal communicationsAssist with data entry, reporting, and general administrative tasksHandle incoming mail and administrative tasks during onsite daysSupport program managers with internal reporting, including weekly status reports and timecard trackingSupport ad hoc administrative projects as neededQualifications:1 to 5 years of experience in administrative support, office coordination, or similar rolesExperience supporting billing, invoicing, or expense tracking processesFamiliarity with HR processes such as onboarding and employee documentationStrong organizational and multitasking skillsHigh attention to detail and accuracyProficiency in Microsoft Office including Excel, Word, and OutlookStrong communication skills and ability to work independentlyEducation Requirement:Bachelor’s degree required in Business Administration, Communications, or a related fieldPreferred:Experience with QuickBooks or similar accounting or payroll toolsExposure to recruiting coordination or applicant tracking systemsExperience in a small business or professional services environmentAdditional Requirement:Must be located within 50 miles of the Gainesville, FL officeWhat We Are Looking For:A reliable and adaptable administrative professional who can support HR, billing, and recruiting coordination efforts while keeping internal processes organized and running smoothly.
