Secretary - Rustin HS Guidance DepartmentThe Guidance Secretary provides secretarial support to ensure the smooth and efficient operations required of the guidance office. Reporting Relationships: Reports directly to the guidance counselors and administration Works cooperatively with other administrators, supervisors, staff, parents and others to perform job responsibilities as outlined Terms of Employment: 12 month (260-262 days) Salary (step/level placement) & Benefits are as described in the current Collective Bargaining Agreement. Salary: PER CONTRACT, starting at $21.80 per hour Qualifications & Physical Requirements:To successfully perform this position, a person must be able to perform each essential duty satisfactorily. The qualification requirements listed below represent minimum levels of educational achievement, training, skill and/or ability necessary. High school diploma or equivalent necessary Proficiency in the use of technology for individual communication and research Possess effective interpersonal skills with the ability to interface diplomatically with other teachers, administrators, parents, students, support staff and outside professional contacts Qualified candidate will be required to: Use hands to finger, handle or feel objects, tools or controls, and to talk and hear Sit and occasionally be required to stand, walk, stoop, kneel and crouch Have specific vision abilities to include close vision, color vision, and the ability to adjust focus Have the ability to lift and/or move up to 25 pounds Possess effective communication, judgmental, planning and human relations skills Be required to work under periods of stress due to the level of the position responsibility Essential Duties and Responsibilities:This list is intended to be illustrative rather than complete and serves to show major duties and responsibilities and does not express or imply that these are the only duties to be performed by the incumbent in this position. Communication: Answers phones and e-mails Composes written and/or verbal correspondence Maintains a customer service focus and welcoming demeanor Record Keeping: Establish, monitor, and maintain confidential files and conversations Follow best practices surrounding management and transferring of records Prepare transcripts and student records for incoming and exiting students Scheduling: Maintain guidance counselor schedules per the guidance counselors' request Student Registration: Coordinate and complete all aspects of student registration Update change of student status throughout the school year Be proficient in Microsoft Office (ie. PPT, Excel, Word, etc) Be able to work within Power School, Naviance, and other software as needed Other duties as assigned by administrator(s)
