Part-time Office Aide - Theatre
DescriptionRate: $15.35 Hourly, not to exceed 28 hours weeklyGeneral PurposePerforms routine clerical, administrative and box office tasks at the Florissant Performing Arts Center. Works under the direct supervision of the Assistant Theatre Manager.Essential Duties And ResponsibilitiesBox Office DutiesGreet and assist guests at the Box Office window, addressing any seating concerns and resolving ticketing issuesProcess in-person, phone and online ticket sales using the theatre’s ticketing software ThunderTixReconcile cash drawer, prepare daily cash deposits and reporting needed by FinanceOrganize “will call” ticketsAssist in drafting, editing and formatting Box Office Statements under the direction of the Assistant Theatre ManagerClerical & Administrative DutiesAnswering, screening and directing phone calls for the Theatre departmentMaintain internal calendar for all theatre eventsAssist in contract & insurance maintenance, ensuring all contracts are signed and filed in a timely manner & each contract has an up-to-date insurance certificate on fileEnsure that all payments to the theatre are accurately input into Square in a timely and accurate mannerProvide documentation needed by the Finance department to reconcile all theatre payments Manage theatre files and update filing procedures and practicesPrepare check requests, invoices and other payments as requested for the Theatre departmentCode Theatre department expenditures as neededOrder office suppliesPrepare agendas, taking minutes for staff meetingsAssist in the organization of the St. Louis Family Theatre Series (SLFTS) school contracts & payments, in addition to scheduling ushers for all SLFTS performancesProvide support with the installation and de-installation of art displays in theatre lobbyPerforms other duties as requestedRequirementsHigh school diploma or its equivalent Comfort with computer systems & ticketing softwareAccuracy in managing financial transactionsAbility to interact with the public in a professional manner, including maintaining composure while managing challenging customer situations Demonstrated track record of providing excellent customer serviceExcellent written and verbal communication skillsExtraordinary attention to detailProficiency with word processing and spreadsheetsFamiliarity with financial / accounting software preferredTools and EquipmentPersonal computer in a network system, calculator, copy machine, telephonePhysical DemandsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
