Program Support Coordinator
The Program Support Coordinator is responsible for ongoing support ofthe financial and administrative aspects of the Health ServicesDepartment, under direct guidance of the Deputy Director. This positionis responsible for a robust inventory system that includes the remainingcontraceptive supplies at the subrecipient sites since decentralizationof the 340B Program, client educational supplies including ordering andcommunicating with vendors, subcontracted site orders and receipt offamily planning supplies. This position will also provide support to theentire Health Services team. Key Responsibilities General OfficeResponsibilities Oversee general office needs such as ordering officesupplies through approved vendors and coordinate maintenance of alloffice equipment. Collect and maintain department files. Prepare foronsite and offsite meetings by finding space, order food, creatingflyer/advertisement if needed, find a venue, work with outside vendors,coordinate with IT, and secure any needed documents to create PurchaseOrders to facilitate payment to vendors. Manage central outreach supplyinventory (condoms, tabling supplies etc.) Manage shipments to deliverysites including ordering, overseeing the courier services forsubcontracted sites, including scheduling deliveries and pick-ups ofeducational materials, and provide technical assistance to delivery sitestaff regarding compliance with ABCD and pharmacy protocols, includingprocedures for ordering, contraceptive logs, and perpetual inventory.Ensure required payment for supplies, and other necessary forms arereceived by ABCD Finance staff. Manage inventory of all office suppliesand order monthly or as needed. Check mail daily and distribute asneeded. Manage pick up of recycling and trash containers. Perform othergeneral office related duties as assigned and required. CommunityPrevention Program Responsibilities Assist with the preparation ofworkshop materials. Support program outreach and Health Services tablingopportunities. Follow-up with partner organizations to host programworkshops. Organize inventory and order program supplies. Assist withtracking metrics for program cohort participation and maintaining cohortparticipation Family Planning Institute Responsibilities Assist FamilyTraining Institute Specialist with tracking of training participants?payments and ensuring payment is received by Accounts Payable. Supportprinting needs for upcoming groups/trainings, as needed. Maintaintraining Institute page on ABCD website and Family Planning website ofall upcoming trainings. This includes sending training updates to PublicInformation/Marketing for chargebacks. Maintain all supplies andeducational supplies for trainings, and mailing educational packages totraining participants as needed. Maintain a response spreadsheet for alltraining participation. Assist with preparation of certificates ofcompletion and contact hours. Skills, Knowledge and Expertise A HighSchool Diploma or equivalent One to three years of experience in programsupport, administrative roles, or project management is required. Mustbe reliable, detail oriented and able to organize and prioritizemultiple tasks.
