Part of Acacium Group, we operate across the UK, US, and APAC, delivering high-quality talent solutions that improve patient care worldwide.The role✅ Permanent, full-time position✅ Hybrid working pattern (mix of in-office and working from home)The Arrivals Coordinator is responsible for delivering a seamless onboarding and relocation experience for international nurses in the final stages before they arrive in the US. You’ll own the day-to-day coordination of candidate cohorts within 3 months of arrival, managing logistics, documentation, and communication to ensure every candidate is fully prepared and supported. This is a highly organised, candidate-facing role that combines operational delivery with strong communication and problem-solving skills.Key responsibilitiesManage onboarding for assigned cohorts, ensuring all documentation is completed accurately and on timeCoordinate key appointments (e.g. Social Security, banking, phone setup) in line with arrival timelinesSupport relocation logistics including housing, travel readiness, and arrival planningAct as the main point of contact for candidates, providing clear, timely, and supportive communicationMaintain trackers and internal systems with accurate, real-time updatesIdentify risks early and resolve issues or escalate with recommended solutionsRecoordinate plans when timelines shift and communicate changes effectivelyTravel (up to monthly) to support onboarding and arrivals onsite where requiredWhat we’re looking for2+ years’ experience in coordination, onboarding, relocation, or operations rolesStrong organisational skills with the ability to manage multiple priorities and deadlinesExcellent communication skills, with a warm and professional approach to candidate interactionHigh attention to detail and ability to maintain accurate records and trackersConfident following structured processes while knowing when to escalateA proactive mindset with strong problem-solving capabilityWillingness to travel within the US as requiredDesirable experienceExperience in healthcare staffing, global mobility, or immigration supportFamiliarity with US onboarding processes (e.g. Social Security, banking, housing setup)Experience managing cohort-based onboarding or high-volume candidate pipelinesExperience using CRM or ATS systems such as HubSpotWhy join us?Be part of a mission-driven organisation improving healthcare systems through global talentPlay a key role in delivering a life-changing experience for international nursesJoin a collaborative, supportive, and globally connected teamGain exposure to international operations, mobility, and healthcare workforce solutionsOpportunity to develop within a growing global organisationIf you’re a strategic, data-driven leader ready to shape the future of global healthcare recruitment, we’d love to hear from you.
