Law Firm Billing Manager

DescriptionThe Billing Manager oversees all aspects of the firm's legal billing operations, leading the billing and eBilling team of approximately 20 billing professionals and ensuring the accurate, timely, and compliant delivery of client invoices. The role partners closely with firm leadership to manage end-to-end billing processes, provide quality control, support attorneys and clients, and drive continuous improvement across billing operations. The ideal candidate combines deep legal billing expertise with strong leadership, analytical and communication skills in a fast-paced and deadline-driven environment.Essential Duties and ResponsibilitiesManage the full lifecycle of legal billing, including preparation, review, and submission of monthly invoices.Serve as the team's leader, ensuring accuracy, consistency, and adherence to client requirements.Interpret outside counsel guidelines and translate requirements into clear instructions for billers and attorneys.Oversee e-billing processes, supporting client setup, invoice submission, monitoring rejections, and follow-up and escalation.Initiate and monitor outreach to attorneys regarding unbilled time and billing-related inquiries, addressing and escalating aging items.Provide guidance on billing structures of alternative fee arrangements, including flat fees and other non-standard pricing structures.Lead, coach, and develop the billing team, ensuring appropriate coverage and workload balance.Establish performance expectations and monitor compliance with firm standards and deadlines; address personnel issues promptly and professionally.Organize and lead individual and team meetings; coordinate training and development as needed.Ensure supervisory coverage of day-to-day billing activities, including monitoring work in progress, assigning tasks, addressing issues, and providing resolutions as needed.Ensure coordination between billing and e-billing functions to support successful invoice submission and issue resolution.Communicate complex billing issues clearly and effectively to the team, attorneys, and leadership.Prepare and present billing data, analyses, and ad hoc reports for firm leadership.Monitor billing trends and e-billed rejections and reductions; identify errors or inefficiencies and recommend process improvements.Collaborate with the billing operations role on troubleshooting support issues, billing system upgrades, conversions, process enhancements, workflows, and overall operations.Own and maintain billing department policies, procedures, and training guidance, including billing manuals and handbooks.RequirementsQualifications and ExperienceMinimum of five (5) years of hands-on legal billing experience in a law firm environment, including at least two (2) years of management of a billing team.Required experience with Elite 3E (or comparable) and e-billing vendor systems.Advanced proficiency in Microsoft Outlook, Excel, and Power PDF; strong aptitude for billing data analysis and reporting.Excellent written and verbal communication skills; proven ability to manage complex workflows, prioritize competing demands, and exercise sound judgment.Bachelor's degree required; equivalent combination of education, training, and experience will be considered.
