Job Overview The Housing Client Administrator serves as a key point of contact for clients seeking services at the Homeownership Center. This position is responsible for providing essential information about homeownership programs, assisting clients with counseling applications, and managing documentation processes to ensure a seamless client experience. The administrator will play a crucial role in supporting clients throughout their journey toward homeownership Duties Handle initial inquiries and direct clients to appropriate programs or staff. Assist clients with online or paper homebuyer counseling applications. Collect and upload necessary documentation to clients’ online portals. Process payments for credit report fees and coordinate with staff for report orders. Verify completeness of applications and documentation in the online system. Assign counselors to new intakes and notify clients to schedule appointments. Maintain and update client tracking spreadsheets. Monitor the Customer Message Board and report errors to management. Generate reports for analysis of leads and customer activity as needed. Keep automated email templates current in the client management system. Input intake application data into client management secondary system and an online portal. Monitor active clients in the homebuyer program and process follow-up documentation Archive files as needed. Manage the reception area, ensuring a welcoming environment for clients. Requirements Must have High School diploma 3 years in a relevant field or equivalent experience in customer service or administrative roles. Bilingual proficiency in English and Spanish (or another relevant language) is preferred. Strong communication and interpersonal skills. Proficiency in Microsoft Office Suite and experience with client management systems. Ability to manage multiple tasks efficiently and work collaboratively. Strong attention to detail and organizational skills.
