Client Service Coordinator - Wealth Management

Position Mission Statement To demonstrate a servant’s heart to KFG’s clients and the firm by providing timely, considerate, and professional service. To build trust with clients and team members and add referable value to KFG’s relationship with its clients. Responsibilities and Tasks Advisor and client service coordinator emails are checked continuously throughout the day All phone calls and emails are responded to the same day if received prior to 3:00pm. Responded to by 10:00am the following day if received after 3:00pm. Appointment follow-ups are prepared for advisor review within 24 hours of the meeting Appointment follow-up process is managed to ensure that all follow-up tasks are completed and that proper communication with clients occurs Advisor calendars are managed to ensure that all clients are met with according to their level of service. Needs Analysis Meetings are scheduled with the right advisor based on prospect source and complexity. Opportunities and Financial Planning fees (expected, outstanding, and collected) for Financial Planning Team are tracked and managed. Manage Financial Advisor(s) calendars, schedule client appointments, conference calls, and web meetings Coordinate joint client meetings with other professionals (i.e., estate planning attorney, elder law attorney, etc.) Track financial planning fees (expected, outstanding, and collected) for Financial Planning Team Monitor Financial Advisor(s) email inbox, voicemail, and incoming client phone calls to identify and respond to client service-related correspondence from clients Client Service Requests. Taking Distribution Requests. Client communications (calls, emails, walk-ins, etc.). Manage the Estate Planning execution process (including scheduling with attorney, scanning, and copying documents, and providing originals and copies to clients). Updating the appointment template to reflect current financial planning fee status. Preparation of Financial Planning Agreements and Invoices. Track financial planning fees (expected, outstanding, and collected) for Financial Planning Team and send reminders for Invoices 90 days past Invoice date. Complete requests and tasks requested through follow-ups and other team members. FIT and Tax Admin back up. Prepare securities paperwork for distributions while delegating more complicated transactions. Printing and processing of Implementation paperwork. Processing of checks received in branch office including contributions, financial planning fees, etc. Scanning of appointment documents, Implementation paperwork, etc. Manage and update Client Service processes as needed. Handle prospect calls/website inquiries. Prepare for Needs Analysis Meetings, Investment Consultations and Client Service Meetings as needed. Performs other duties as required. Required Skills and Abilities Willingness to pursue industry credentials Strong written and verbal communication skills. Significant computer and software training or experience (i.e. Microsoft Office, CRM Software, and QuickBooks). Above average typing skills. Must be well organized with time, resources, physical office space, and client documents/information, detail oriented, and be able to manage a large workload. Must be intrinsically motivated and able to work individually with little direction. Must be a team player and able to collaborate with team members and financial professionals from other firms. Comfortable interacting with clients via telephone, email, video conferencing, or face-to-face. Must be coachable, goal oriented, grasp concepts quickly, able to work in a fast-paced environment, embrace change, and have a strong desire to learn and grow in the financial services industry. Must have a desire to pursue professional development. Series 7, and Series 66 completed within the first 12 months in the position Education and Experience Bachelor’s degree from an accredited college or university, preferably Two to three years of financial industry experience preferred, but not required. Physical Requirements Prolonged periods of sitting at a desk and working on a computer.
