Mortgage Disclosure Specialist

Position Summary Prepares disclosures for all secondary market and portfolio (in‑house) mortgages and reviews previously issued initial LE documents and subsequent COC’s for signature by the client. Performs a preliminary review of each loan file for accuracy and completeness and verifies that the loan has met all TRID compliance requirements. Responsible for mailing notices and maintaining logs for adverse actions on denied loans. Major Duties and Responsibilities Disclosure Preparation & Compliance – Manages an average monthly disclosure request pipeline of 60‑100 working requests. Prepares and reviews initial LE documents and subsequent COC requests for accuracy prior to release to the Mortgage Loan Officer and/or client. Verifies documents necessary for disclosures, third‑party charges (title fees, appraisal, inspections, flood, credit and product requirements, etc.), amounts held for escrow, product code, rate, lock expiration dates, and other details. Prepares disclosures for delivery to the borrower via e‑disclose or by mail; ensures compliance with the 3‑day requirement per TRID guidelines. Pipeline Monitoring & Adverse Action Handling – Monitors the active loan pipeline multiple times a day to identify new applications and changes that require a disclosure. Requests required documents, verifies vesting, legal descriptions, receipt of payments, closing dates and signatures. Issues notices of incompleteness, adverse actions, and mail to borrowers; maintains a log of mailed actions. Operational Support – Assists the Post Closing Team and Closing Team with preparation of closing packages, fundings, and receipt of closed loan packages; uploads closed loan packages and reviews trailing documents. Prepares closing packages, construction loan extension documents, payment recast documents, wires for funds, and collaborates with borrowers, realtors, and title companies. Performs clerical duties, maintains accuracy of the Disclosure Job Aid, assists with new or existing associate training, and performs other duties as assigned. Travel may be required for training purposes and mortgage meeting requirements. Position Requirements and Qualifications Education and Experience – High school diploma or equivalent. Two years of recent experience in secondary market and in‑house portfolio disclosures and documentation preferred. Training Requirements – Ongoing regulatory and compliance training is required. Knowledge, Skills, and Abilities – Excellent customer service skills. Knowledge of FHA, VA, RD, THDA, and construction loans preferred. Ability to apply knowledge and sound judgment in decision‑making using established guidelines. Proficient in Microsoft Windows (Word, Excel, Outlook), typing and ten‑key. Strong written and oral communication skills. Detail oriented, well organized, capable of prioritizing and multitasking. Work Conditions – Able to stand, sit, bend, and stoop routinely; frequent use of wrists, hands, and fingers. Average visual acuity required to prepare data; normal hearing to receive ordinary information. May be required to travel to branch locations. Ability to work overtime hours regularly.
