Job Title: Part Time Administrative AssistantJob DescriptionThis role provides essential administrative and clerical support, with a strong focus on data entry, document management, and coordination through vendor portals and internal systems. The Administrative Assistant ensures accurate and timely handling of invoices and records while supporting daily office operations and delivering professional front-desk support as needed.ResponsibilitiesLog into vendor portals to retrieve invoices and supporting documentation in a timely and accurate manner.Download invoice data and enter all required information accurately into internal systems, including ERP platforms, without performing payment processing.Scan, file, and organize both physical and electronic documents to maintain a well-structured records system.Maintain organized records and ensure all documentation is easily accessible for internal stakeholders.Answer and direct incoming phone calls in a professional and courteous manner.Provide general administrative and clerical support, including filing, data entry, and other office tasks as needed.Collaborate with team members to ensure smooth administrative workflows and consistent documentation practices.Essential SkillsProven attention to detail and a high level of accuracy in data entry tasks.Ability to navigate multiple systems and online vendor portals comfortably.General technical proficiency with the ability to learn new software quickly.Experience with administrative support, clerical work, and office assistance.Proficiency with Microsoft Office applications for everyday administrative tasks.Experience working with ERP systems or similar business software.Strong organizational skills and the ability to manage routine tasks independently.Dependable work habits and a consistent, reliable approach to completing assigned duties.Additional Skills & QualificationsFamiliarity with accounting or ERP systems, with experience using VISTA considered a plus.Previous administrative, office support, or clerical experience preferred.Experience with document filing, record keeping, and general office administration.Comfort working in an environment that relies on both digital and physical documentation.Work EnvironmentThis position is on site approximately 2–3 days per week, for a total of roughly 20–24 hours per week. The role involves working with vendor portals, ERP systems, Microsoft Office, and other internal software tools while handling both electronic and physical documents.
