Visiting Appointment Coordinator (6-month temporary assignment)

The Byers Eye Institute (Department of Ophthalmology) at Stanford University School of Medicine is seeking a Visiting Appointment Coordinator to join our Academic Affairs team. This role supports individuals from different backgrounds who come to Stanford campus for short term stays to learn, do research, and teach. Under the supervision of the Associate Director of Academic Affairs & Human Resources, the Visiting Appointment Coordinator will provide administrative support focusing on transactions and processes for appointments and reappointments supporting the following academic lines:• Visiting Instructors, Visiting Scholars, Visiting Postdoctoral ScholarsThis role will also support J visa applications for the assigned populations.This starts as a 6-month temporary staff position, not eligible for benefits, with hope to convert to regular staff in the future.This role requires strong attention to detail, excellent verbal and written communication skills, and the ability to independently organize and follow through on assigned tasks. On-site days/times are flexible.To apply, please provide a resume and short statement of interest/cover letter to the job posting.Hours: 40 hours/weekWork days: Mon - FriOvertime eligible: noExpected Compensation: $30-35/hour; rate will be set commensurate with experience Desired Qualifications:·     Associate's degree and one year of experience in an administrative role, or equivalent education and experienceDuties include:·     Main point of contact for visiting appointments in the department; provide guidance and communicate statuses to applicants, faculty hosts, and other stakeholders.·     Gather information for appointment and reappointments. Collect documents, provide advice on process requirements.·     Gather all components of the appointment/reappointment form, and organize in compliance with guidelines. Assemble and draft materials for the appointment and reappointment files.·     Process and track approved activities and maintain appropriate documentation and communication.·     Assist in coordination of visa process, as needed. Work with Bechtel International Center and legal to advise on application of immigration policies and practices.
