Program Assistant
Job Summary
We are seeking a dynamic and organized Program Assistant to support the smooth operation of our programs and administrative functions. Duties
Manage front desk operations, greeting visitors and directing inquiries with professionalism and warmth
Handle multi-line phone systems, answer calls promptly, and route messages accurately
Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
Perform data entry tasks using Microsoft Office applications and specialized software like QuickBooks for bookkeeping purposes
Support calendar management by scheduling meetings, appointments, and events efficiently
Assist with office management duties including supply inventory, equipment maintenance, and general administrative support
Provide bilingual support to communicate effectively with diverse clients and stakeholders
Proofread correspondence, reports, and documents to ensure accuracy and clarity
Handle confidential information discreetly while maintaining data integrity
Support client communication efforts through phone calls, emails, and in-person interactions
Experience
Previous office experience or administrative support roles demonstrating strong organizational skills
Familiarity with QuickBooks or similar bookkeeping software is highly desirable
Experience managing multi-line phone systems and front desk operations preferred
Bilingual proficiency in English and another language is a plus for effective client communication
Proven ability to handle clerical tasks such as filing, data entry, proofreading, and calendar management
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Excellent customer service skills with a professional phone etiquette approach
Ability to manage time effectively in a fast-paced environment while prioritizing tasks accurately
Personal assistant or office management experience is advantageous but not required
Preferred Candidate Profile
Associate or bachelor's degree preferred, or equivalent relevant experience.
Two or more years of administrative, program support, project coordination, or Federal contractor experience.
Strong Microsoft Office skills, document control discipline, and attention to detail.
Experience handling sensitive records or supporting multiple concurrent workstreams.
