Office Services Specialist
General PurposeUnder general supervision, perform a variety of business support activities for the El Dorado Springs facility, typically of an administrative nature. Serves as the primary receptionist for the facility, coordinating activities for guests and incoming calls. Perform office/facility duties such as customer service, mail service, shipping, inventory management, general reporting, accounts receivables/payables, payroll and human resources support, and general operations support. Play a key role in keeping the office/facility running smoothly by managing relationships with office services, supply vendors, and leadership and by maintaining stocks of supplies. Respond to the needs of internal and external customers in accordance with standard procedures.Job Duties And ResponsibilitiesManage incoming calls to the plantGreet visitors to the facility and direct them to appropriate personnelReceive, sort, and distribute mail to plant staffMonitor performance and authorize payment to office services and supply vendors including providers of coffee, supplies, copier servicing and billing, cleaning, first aid, and other various office vendorsMaintain orderly and well-stocked break and conference areas; inventory, order/purchase, and put away suppliesGather, match with purchase orders, and process invoices for payment as the main accounts payable point person for the facility and answer plant AP questions that ariseServe as the primary payroll coordinatorProcess (check-in) paychecks and distribution of employee checksComplete scheduled and ad-hoc reports (downtime reports, safety reports, HR reports)Assist with or serve as a records coordinator in the records retention processFollow all DFA good manufacturing practices (GMP) and work in a manner consistent with all corporate regulatory, food safety, quality, and sanitation requirementsExhibit the values and ethics of Dairy Farmers of America through honesty, discretion, and sound judgmentAdhere to all DFA Quality, Safety and GMP policies and procedures and report any nonconformityAttend required training, including but not limited to, Safety, GMP, Hazard Analysis and Critical Control Point (HACCP), and Safe Quality Foods (SQF)The requirements herein are intended to describe the general nature and level of work performed by an employee, but is not a complete list of responsibilities, duties, and skills required.
