Executive AssistantFull-time role at San Leandro, CAAbout the RoleThe Executive Assistant provides high‑level administrative and strategic support to the company’s senior leaders. This role will ensure the efficient operation of the executive office in a fast‑paced, dynamic corporate environment and act as a key liaison between internal teams, external stakeholders including the Board of Directors, and senior leadership. The position requires exceptional organizational skills, sound judgment, discretion, and the ability to manage multiple priorities with confidence and professionalism.You’ll Make a Difference ByExecutive & Administrative SupportProviding high‑level administrative support to ensure smooth day‑to‑day operationsManaging complex calendars and schedules, including meetings, appointments, and travelProactively resolving scheduling conflicts and prioritizing competing requestsManaging email inboxes and correspondence with professionalism and discretionCommunication & CorrespondenceServing as the primary point of contact for internal and external communications on behalf of senior leaders Drafting, reviewing, and editing correspondence, presentations, and reportsScreening and directing phone calls, emails, and inquiries with sound judgmentMeeting & Event CoordinationOrganizing and preparing materials for meetings, presentations, and eventsAttending meetings, taking minutes, and tracking action items as neededCoordinating logistics for internal and external meetings, including Board of Directors meetings, as well as offsites and special eventsProject & Task ManagementAssisting with project tracking and follow‑up on deliverablesEnsuring deadlines are met and priorities are alignedConducting research and compiling data for reports and presentationsTravel & Expense ManagementCoordinating and managing complex domestic and international travel arrangementsPreparing and processing expense reports accurately and in a timely mannerConfidentiality & DiscretionHandling highly sensitive and confidential information with the utmost integrityExercising sound judgment in all interactions and communicationsAdditional SupportSupporting ad hoc projects and special initiatives as assigned About YouMinimum of 5 years of experience supporting senior executives in a corporate environmentProven ability to work independently while collaborating effectively as part of a teamHigh level of professionalism, discretion, and integrityExceptional organizational, time‑management, and prioritization skillsStrong written and verbal communication skillsStrong attention to detail with excellent problem‑solving abilitiesDemonstrated ability to manage multiple priorities in a fast‑paced environmentProficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)Experience with virtual meeting platforms (Zoom, Teams, Slack) and collaboration tools
