Our ranges are developed and published as good faith estimates for the position.***The Operations Administrator provides high-level administrative and operational support to the Operations Division and Leadership Team. This role ensures smooth day-to-day business operations, scheduling, and logistics. The Operations Administrator strengthens internal communication, supports safety and compliance functions, and contributes to organizational initiatives through strong coordination, confidentiality, discretion, and professional judgment. This position operates in a professional office environment and is required to be on-site Monday-Friday at our St. Paul location.Starting Salary Range: $24-$28 + Office Benefit Package (Parking/Remote Expenses)Job Duties:Operational Division SupportFacilitate and support active communication between staff, leadership, supervisors, external partners, and vendors as appropriate and over a variety of mediums, including phone, email, text, in-person, and video conferencingManage business accounts such as translation and purchasing (eg., Amazon, Sam's Club, etc.), supply ordering as appropriate and within budget. Support and adhere to organizational financial practices, including the use and expense tracking policiesSupport coordination of events such as RADIAS Health Town Halls, Manager Meetings, and other events as well as oversee the RADIAS Health Training Institute systemTake lead on scheduling, booking, communicating, preparing, ordering supplies and/or food, print outs, setting up/cleaning up, and other appropriate tasksPartner with IT Department for organizing, requesting and setting up of technologyManage event-related tracking, attendance and post-event follow up (e.g., quizzes, surveys as applicable)Maintain file and protocol management procedures, including organizing and managing operational companywide policies and procedures, job aids, standard operating policies, workflows, and other appropriate documentsThis includes ensuring the most recent/up to date versions are published and accessible; revisions and reviews are happening on scheduled intervals and partnering with appropriate departments to ensure compliance and review as appropriateCollaborate and support Safety & Facilities by co-leading the Safety Committee and participating in internal safety initiativesAssist in managing the computer maintenance management system (CMMS), including preventative maintenance schedulesTrack regulatory schedules including EPA, OSHA, and state, county, and city requirementsSupport credentialing and re-credentialing documentation workflows for therapists, psychiatrists, and APRNsLeadership SupportAs appropriate, support and increase the capacity of the Leadership TeamCoordinate and facilitate meetings, including scheduling and calendar management, site/room reservationsPreparation of agendas, presentations, materials, technology requirements, and other needs as appropriateRecord, organize, distribute and manage meeting minutes and associated follow-up assignmentsPreview/screen external and select internal communications, record and relay messages as well as electronic/physical mail to reduce non-essential tasksAssist leadership with project planning, document and resource management, and cross-functional coordinationMaintain confidentiality and appropriate boundaries, especially when handling sensitive, clinical, HR, private, confidential and other proprietary and non-public informationMonitor and track compliance schedules, notifying appropriate leadership of deadlines and submission requirements.
