They are a mission-driven team and expect their next hire to be genuinely energized by that work.About the RoleWe are looking for an experienced EA who has supported founders and startup leaders before and understands what that environment demands. You are not fazed by ambiguity or rapid change. You thrive building structure where there is little, and you take pride in helping leadership scale.You will be the primary point of coordination for the CEO: owning his inbox and calendar, managing travel logistics, tracking follow-ups, and serving as a hub that connects him to his team. Over time, as you grow into the role, there may be opportunities to expand into project tracking and operational support.Key responsibilitiesCalendar and Meeting ManagementOwn the CEO's calendar across multiple time zones and stakeholder groupsSequence meetings strategically to protect focus time and prioritize high-value workProactively troubleshoot conflicts and reschedule with minimal disruptionCoordinate with clients, team members, and external partners to confirm timing and logisticsInbox and Email SupportMonitor and manage the CEO's email inbox so nothing falls through the cracksDraft outreach, follow-up, and coordination emails on behalf of the CEOTrack pending responses and flag items that require decisions or actionRoute communications to the appropriate team members when delegation is neededTravel and LogisticsBook flights, hotels, ground transportation, and dining for multi-city travelPrepare detailed travel itineraries with all relevant details: times, addresses, confirmation numbers, contactsHandle changes or cancellations quickly and keep the CEO informedPost-Meeting and Administrative Follow-UpSend thank-you emails and follow-up communications after meetings and eventsDocument action items from meetings and follow up to ensure they are completedPrepare and submit monthly expense reports; track receipts and flag any gapsInternal Team CoordinationServe as a coordination hub between the CEO and internal team membersHelp track outstanding deliverables and keep internal workflows movingSupport the CEO in delegating work to the team and following up on outputsAssist with updating project trackers and ensuring deadlines are visible and on trackProspect Research and Pre-Sales SupportResearch potential clients, donors, and partners ahead of introductory meetingsPrepare briefing notes and background materials so the CEO is fully preparedSupport scheduling and follow-up communications during business developmentWhat you bring3+ years of experience as an Executive Assistant, ideally supporting a founder or startup executiveDemonstrated ability to manage a high-volume, fast-paced environment independentlyExceptional written and verbal English communication skillsConfident and proactive: you make decisions, flag issues early, and do not wait to be toldExperience helping leaders become more organized, not just responding to their requestsStrong proficiency with Google Workspace, Slack, Zoom, and similar tools; HubSpot familiarity is a plusComfort with ambiguity and the ability to prioritize in a "build the plane as you fly" environmentA genuine interest in mission-driven work and the communities Barakah Group servesUnderstanding of what a minimum viable deliverable looks like so you can support quality controlCompensation & BenefitsCompensation: $1,500–2,000 USD/month depending on experience and fit.US Holidays
