Shipping Operations Support Coordinator
TITLE: Shipping Operations Support Coordinator TYPE: Direct Hire LOCATION: Rutherford, NJ ONSITE/REMOTE/HYBRID: Onsite START DATE: April/May 2026 We are seeking a highly organized Shipping Operations Support Coordinator to play a key role in supporting day-to-day shipping activities and resolving logistics-related issues. This position acts as a central point of coordination between Customer Service, Accounts Receivable, and Shipping to ensure accurate billing, timely shipment tracking, and smooth operational flow. The ideal candidate is proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. MAIN RESPONSIBILITIESManage incoming shipment tracking inquiries from internal teams and customersReview shipping-related chargebacks using internal systems to identify discrepancies such as address corrections, billing errors, or refused deliveriesInvestigate and resolve discrepancies to ensure accurate billing and complianceAssist in preparing shipping rate quotes for parcel, LTL, and international shipmentsSupport both internal teams and customers with cost-related shipping inquiriesProvide timely updates on shipment status and determine appropriate next steps, including replacement shipments when neededTrack claims and maintain documentation related to shipping discrepanciesAssist with processing credits and reconciling shipping-related financial issuesAssist in preparing bills of lading (BOLs) and shipment documentation to ensure on-time pickupsCoordinate required paperwork and details for domestic and international shipments, including parcel and freightSupport return processes, including generating return labels and arranging necessary packaging solutionsPartner with Accounts Receivable to resolve return-related discrepanciesSubmit and manage billing disputes with carriers, including follow-up to ensure timely resolution and creditsSupport department managers with ad hoc tasks and business needsProvide general administrative support across departments as neededAssist with special projects, internal coordination, and operational initiativesQUALIFICATIONSPrior experience in shipping, logistics, or operations support preferredFamiliarity with parcel carriers (e.g., UPS) and freight shipping processes, including international shipmentsExcellent communication skills with the ability to work across multiple teams and interact with customersStrong attention to detail with the ability to review and validate billing or chargeback dataProficiency in Microsoft Office applications; experience with ERP systems (such as SAP Business One) and PSI software is a plusBilingual skills are a plusEOE STATEMENT We are an equal opportunity employer.
