JOB DESCRIPTIONWe are seeking a highly organized and proactive Event Manager to support the Ad Sales Engagement & Events team. Reporting to the Director, Ad Sales Engagement & Events, this role is responsible for planning and executing a range of events that support the sales organization, including bespoke client experiences, internal engagement initiatives, and on-site event execution.The ideal candidate thrives in a fast-paced environment, is detail-oriented, and can manage multiple projects simultaneously while delivering high-quality experiences for both clients and internal stakeholders.A SNAPSHOT OF YOUR RESPONSIBILITIES:Plan and execute bespoke client events that support sales relationships and business development effortsManage end-to-end event logistics, including venue sourcing, vendor management, catering, production, transportation, and overall guest experienceOwn all event communications and documentation, including attendee tracking, rooming lists, travel manifests, and activity selections with a high degree of accuracyOversee the development and approval of event communications (Save-the-Dates, invitations, RSVP materials) in partnership with internal design teamsDevelop and manage event budgets from inception through reconciliation, including expense authorizations, real-time tracking, and coordination with FinanceManage vendor relationships, including onboarding, contracting, and invoice processing via CoupaLead internal engagement events such as team gatherings, leadership meetings, and employee experiencesProvide on-site event management, ensuring seamless execution from setup through breakdownPartner closely with Ad Sales leads, internal stakeholders, and cross-functional teams to align events with business objectivesDevelop and maintain timelines, run-of-show documents, and all event-related communicationsProactively troubleshoot and resolve issues in real time to ensure a high-quality attendee experienceManage premium/merchandising programs, including concept development, sourcing, packaging, shipping, inventory tracking, and recipient managementMaintain key sales resources, including event calendars, inventory trackers, and client program materialsCreate and maintain detailed event dossiers for each Ad Sales hospitality programSupport internal Ad Sales events, including charitable initiatives, team-building activities, and recognition programsPartner with team coordinators to ensure timely and accurate reconciliation of all event expensesWHAT YOU WILL NEED:5–7+ years of experience in corporate event planning (media experience preferred)Proven experience managing client-facing events and corporate programsStrong vendor relationships and negotiation skillsDemonstrated experience managing budgets and financial processesExceptional organizational and project management skills, with the ability to manage multiple events simultaneouslyStrong communication and stakeholder management skillsExperience working with VIPs, C-level executives, and high-profile clientsAbility to remain calm under pressure and problem-solve in real timeHighly detail-oriented with excellent time management and multitasking abilitiesAbility to work both independently and collaborativelyHigh level of professionalism and strong interpersonal skillsWillingness to work flexible hours, including evenings, and travel as neededThis role supports a dynamic event calendar and is not a traditional 9–5 positionAvailability and responsiveness during active events and after-hours are requiredEvening and extended hours will be necessary based on event schedulesFlexibility and a solutions-oriented mindset are essentialWe are an equal opportunity employer and all qualified applicants will receive consideration for employment without regard to race, color, religion, sex, national origin, gender identity, disability, protected veteran status, or any other characteristic protected by law. This role is also eligible for an annual discretionary bonus, various benefits, including medical/dental/vision, insurance, a 401(k) plan, paid time off, and other benefits in accordance with applicable plan documents. Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
