Job Title Kingsville, City of (TX)$24,459.76 - $32,195.80 AnnuallyKingsville, TXPart-Time 29 HoursJob Number: 202600038Description Essential Job Functions:Performs advanced secretarial and administrative duties for the department director and department staff which support the organization's mission, vision and values.Essential Job Functions:Responds to telephone calls, screens visitors and refers to appropriate person if necessaryProvide detailed information regarding department's policies and procedures and on various programsResponds to letters and general correspondence of a routine and non-routine natureMaintain appointment schedule/calendars, arrange meetings/conferences and make travel arrangementsOperate office equipment including but not limited to telephone, computer, printer, fax and copy machinesPrepare payroll and generates a summary of overtime reportsPrepare reportsMaintains a variety of files and recordsConducts research and compiles dataWrite and track purchase orders requestsCompiles reports for regulatory agenciesAdditional Duties:Perform other duties as assignedRequired Knowledge, Skills, and Abilities:Extensive knowledge of English usage, spelling, grammar, and punctuationExtensive knowledge of modern office methods, procedures, and equipment including computersExtensive knowledge of business letter writingAdvanced communication abilities to communicate clearly and concisely, orally and in writingExcellent customer service abilities to work cooperatively with other City staff and outside agenciesAbility to interpret and apply administrative and departmental policies, laws, and rulesAbility to plan, organize and schedule priorities in the officeAbility to maintain confidential and sensitive informationAbility to establish and maintain effective working relationships and to communicate with department personnel, City employees and the publicMinimum Qualifications:Two (2) years as an executive secretary or administrative assistant position or similar levelAdvanced proficiency in the use of computer software applications: MSWord, Excel, Access and PowerPointPreference:Bilingual in English/SpanishBachelor's degree from an accredited college or universityAcceptable Equivalency:Any combination of experience and training that would likely provide the required knowledge, skills and abilitiesConditions of Employment:High School or GEDValid Driver's LicenseProof of Citizenship and/or eligibility to work in the U.S. legallyDrug ScreenBackground investigationAll City employees are required in the course and scope of their employment to provide services for the benefit of the public during emergency situations that threaten the safety of Kingsville citizens.
