Join us for the chance to leverage your inherent curiosity and proven capabilities to catapult you to the next level.ResponsibilitiesPerforms administrative functions and provides administrative support to project team and/or executive group in field or office as designated by managementType, fax, copy, transcribe and distribute project documents and correspondence such as the subcontract base, subcontracts, purchase orders and various letters, and create and maintain paper and electronic project files according to Suffolk guidelinesMaintain and track project information in Procore as requiredFollow up with subcontractors regarding project paperwork as neededAssist project team with closeout coordination and preparation of O & M ManualsWork with project team and manager(s) as directed to achieve departmental objectivesSort, distribute and follow up with project mail and faxes; prepare outgoing packages and mail to meet daily deadlinesOrder supplies for project team/officeMaintain personal, office, and jobsite space (if applicable) in a neat and organized mannerSet up project binders and order project drawings from local printing resourcesAssist in the preparation and distribution of project punchlistsArchive all project documentation according to Suffolk guidelinesParticipate in project and/or team meetings as neededAssist with daily planning of managers' schedules, meetings, and possibly travel (through corporate agency), if assignedQualificationsProficient in basic administrative functions and skilled in the use of office equipment and computer software including Microsoft Word, Excel, and OutlookAbility to manage and prioritize tasks/projects with little supervisionExcellent written and verbal communication skills4-year college degree or equivalent work experience desiredConstruction background preferred, but not necessaryProfessional appearance and mannerTyping speed minimum of 45-50 wpmPositive attitudeAbility to work independently and as part of a teamRespect for confidential information; good judgmentFlexible, detail-orientedAbility to work in a fast-paced environment and prioritize effectivelyDedicated and hard-workingTakes initiative within area of responsibilityThe ability to manage and embrace change. This represents the typical salary range for this position and is just one component of Suffolk's total compensation package. Actual salaries may be based on several factors including, but not limited to, skill set, experience, education and other qualifications.
