OFFICE & LEGAL SUPPORT COORDINATOR (Atlanta - Buckhead Area)
Moore & Van Allen PLLC, a dynamic and fast-growing full-service law firm of more than 400 attorneys and professionals, is seeking a highly organized and professional Office & Legal Support Coordinator to join our Atlanta office. This is a dynamic, dual-function role that blends office coordination (50%) with legal practice support (50%), ideal for someone who enjoys variety, takes pride in being the go-to resource, and thrives in a fast-paced legal environment.You'll play a critical role in keeping the office running smoothly while supporting attorneys with administrative and legal operations. Confidentiality, attention to detail, and strong communication skills are essential for success in this position.What You'll Do:Office CoordinationServe as the primary administrative point of contact for the Atlanta officeGreet clients and visitors; answer and direct incoming phone callsOversee daily office operations, including supply ordering, vendor coordination, and building management communicationManage conference room scheduling, meeting logistics, and basic technology setupHandle mail, courier services, overnight and certified deliveriesMaintain office organization, shared calendars, and administrative filesAssist with onboarding logistics for new employeesSupport firm events, meetings, and internal initiativesPerform general administrative tasks such as scanning, filing, data entry, and expense supportLegal Practice SupportProvide administrative support to multiple attorneys, primarily within the Finance and other practice teamsDraft, format, revise, proofread, and finalize legal documents and correspondence using Microsoft Word and related toolsManage attorney calendars and schedule client meetings and appointmentsOpen new matters, submit conflict checks, and assist with matter and file maintenanceOrganize and maintain electronic and physical client files in the document management systemAssist with time entry, billing preparation, expense reports, and reimbursementsCoordinate with internal teams (Records, Accounting, IT, Office Services) to support attorney and client needsHandle sensitive and confidential information with discretion and professionalismWhat We're Looking For:Required:Associate's degree in Business Administration or related field2+ years of administrative experience in a professional office environmentStrong organizational skills with the ability to manage multiple prioritiesExcellent written and verbal communication skillsHigh attention to detail and accuracyProficiency in Microsoft Office (Word, Outlook, Excel)Ability to maintain confidentiality and exercise sound judgmentProfessional, client-focused demeanorAbility to work independently and collaboratively in a small teamPreferred:Prior experience in a law firm or legal officeExperience supporting attorneys or legal teamsFamiliarity with legal document formattingPhysical Requirements:The work is primarily sedentary.It requires the ability to communicate effectively using speech, vision, and hearing.The work requires the use of hands for simple grasping and fine manipulations.The work at times requires bending, squatting, and reaching, with the ability to lift, carry, push, or pull light weights.Note: This position will be 100% on-site in our Atlanta Office.May need to occasionally work more than the standard 37.5 hours per week to accomplish essential duties of the position.
