Job Summary
This position is responsible for providing data and administrative support to the Department of Dental Hygiene, including collection, analysis, and reporting on a part-time basis. This position requires strong computer application skills, effective communication and organization skills, and the ability to work independently and cooperatively with faculty, staff, and students. The person in this position must effectively manage multiple priorities. This position is responsible for providing general administrative support to the Department Chair and the Department of Dental Hygiene's Faculty, Staff, and Students, which includes budget, travel, purchasing, and payroll support, as well as coordination of departmental activities, including the on-site dental hygiene clinic.
Responsibilities
Assist the Department Chair, functioning independently or with minimal supervision, in ongoing departmental activity, including maintenance of contracts, annual reports, etc.
Coordinate with faculty, staff, and off-campus groups in the assignment and management of academic classrooms and lab space in BANNER.
Assist with the registration process for students in the Dental Hygiene Program, including BANNER data entry for course offerings and class schedule development each semester.
Assist the Department Chair with special projects, committee meetings, special events, position search processes, and data collection and retrieval as needed.
Develop and modify brochures, spreadsheets, tables, flyers, and other materials for the department using software specifically designed for the project.
Assist with preparation for CODA Accreditation Site Visits and hosting of the event.
Maintain relevant student information in SharePoint as it pertains to department documents, admissions, completion of annual CODA surveys, etc.
Complete membership forms annually.
Provide support for business functions of the department by monitoring budgets, preparing fiscal transactions, entering invoices and purchase orders for payment, and recording in SharePoint for immediate access to data.
Create travel and expense reports, journal entries, and budget amendments, and assist with the completion of quarterly budget review.
Assist the Department Chair with preparation for Information and Orientation sessions for prospective and incoming Dental Hygiene students.
Assist the Department Chair with grant-writing endeavors.
Serve as a backup to the clinic receptionist in the event of the receptionist's absence on their scheduled workday.
Required Qualifications
Bachelor's degree.
