About the job Assistant Property Manager (2240) Our client is seeking an Assistant Property Manager (APM) with experience in commercial or industrial property management to join the Operations team and play a key role in supporting the day-to-day management of a large-scale data center.Our client provides flexible, efficient, and resilient data center solutions to businesses of all sizes. They have state-of-the-art data center sites located in two Northern Virginia locations, as well as London, Frankfurt, Paris, Milan, and Sao Paulo, and anticipate exponential growth over the next several years both in the US and abroad.The Assistant Property Manager (APM) is part of the Operations Team and shall work closely with the Operations Management, Legal and Accounting Teams in the day-to-day operations of a large-scale data center, while ensuring that the highest levels of service are maintained.The APM should have a background in Real Estate Management, proficient administrative skills, and accounting acumen. This position will report to the Property Manager and is located onsite in Manassas, VA.ResponsibilitiesPurchase Orders: Review, process, route for approval and close out.Invoice Processing: Initial review, processing, and routing for approval. Follow up and resolve any issues.Tax Exempt filings: Sales & Use and FuelCertificates of Insurance (COI): Maintain and ensure all Vendor and Tenant COI's are current and in placeContract Administration: Draft templated agreements, maintain and ensure all contracts are current and in place, and contract log is updated.Lease Administration: Ensure all contractual obligations are metNon-Disclosure Agreements (NDA): Maintain and ensure all Vendor and Tenant NDA's are current and in placeService Notices: Send and close out notices for upcoming work at siteService Requests: Acknowledge, assign, update and close out all tenant requestsOrganize and file facility related documentsConduct routine property inspections to prevent and identify problems and exposuresOrder office supplies and maintain office equipment, ability to lift up to 25lbsPrepare and submit monthly reports for review and approvalAttend vendor reviews and client meetings. Maintain meeting minutes and record action items.Other duties as requiredLocal travel requiredRequirementsBachelor's degree preferredA minimum of 2 years of experience in property management within a commercial or industrial settingExpertise in popular Microsoft office suite applications (e.g. Excel, Word, Outlook)Familiarity with Accounting software applications and preventative maintenance ticketing system (e.g. Yardi)Highly developed organizational abilities with demonstrated success in balancing multiple priorities while maintaining precise attention to detailProactive follow-up abilities to ensure timely completion of tasksOutstanding written and verbal communication skills and command of the English language,Ability to maintain excellent vendor and tenant relationshipsActively solicit feedback to ensure all responsibilities, activities and deliverables meet expectationsAbility and willingness to respond to emails and phone calls after hours in the event of an emergency
