Fire Alarm Project Administrator
We are seeking a highly organized and detail-oriented Fire Alarm Project Administrator to join our growing team in Corpus Christi, TX. As a Fire Alarm Project Administrator, you will play a crucial role in ensuring the smooth operation of our construction processes by ensuring commercial documents are collected, reviewed, distributed, and completed in accordance with contractual requirements and industry standards. A proactive approach and excellent communication skills will contribute to the overall success.
The successful candidate will oversee multiple administrative duties, which include:
Daily schedule updates
Maintain accurate and up-to-date project records
Coordination with sales representatives to ensure complete documents are obtained prior to booking.
Assist in preparing reports and analysis related to project status
Assist Project Managers with construction updates to customers
Submission and tracking of documents to contractors and AHJs
Submit and manage designs sent to subcontractors
Manage invoices and payments to subcontractors
Ordering and tracking of material
Manage and track received materials
Prepare documents for project start ups
Manage and complete project close out process
Collaborate with Project Managers to address and resolve customer inquiries or concerns.
Log and track business opportunities and communicate with sales representatives.
Attendance at mandatory job site meetings as required
Perform daily processes and controls accurately, ensuring company policies are followed
Manage lien waivers
Requirements
Proven experience in contract administration or coordination role is preferred but not mandatory.
Attention to detail is a must.
Ability to work independently and collaboratively in a team setting.
Strong organizational and project management skills.
Exceptional communication skills, both written and verbal, in a professional context.
Excellent interpersonal and relationship-building skills
Ability to manage multiple tasks and changing priorities
Ability to quickly learn and adapt to multiple business software platforms
Strong proficiency with Microsoft Office (Outlook, Excel, Word, Teams)
Proficient in- Adobe Acrobat
Experience in Service Trade- Software a plus
Familiarity with Fieldwire construction software is an advantage.
AutoCAD experience a plus
Experience with Microsoft Great Plains software preferred
Procore experience
Construction accounting software experience
Familiarity with AP/AR process
Project accounting experience including job cost coding of vendor/supplier invoices, timecards and subcontractor AIA’s
AS/BS or University degree in construction, engineering or related discipline a plus
Language: English/Spanish (Preferred)
