Payroll Coordinator
Job Description
We are seeking a detail-oriented and organized Payroll Coordinator to support day-to-day payroll operations. In this role, you will help prepare payroll inputs and import files, support payroll processing for assigned pay groups and cycles, maintain accurate payroll records, and assist with reporting and post-payroll activities. You will also monitor the payroll inbox and helpdesk queue, be the key point of contact for routine employee payroll questions and escalate more complex issues as needed. The ideal candidate brings discretion, strong attention to detail, and service-oriented approach, with the ability to follow established processes and manage confidential information in a fast-paced environment.
What you’ll do
Payroll Processing & Administration
Prepare payroll input and import files using established templates, processes, and validation checks
Support processing of assigned payroll groups and pay cycles, including recurring and off-cycle payrolls, to help ensure accurate and timely payroll completion
Ensure timesheet compliance with internal policies and follow up on missing or incomplete time records
Maintain accurate payroll records and documentation to meet audit and regulatory requirements
Coordinate employee data updates with the People Solutions team, including benefit deductions and compensation changes
Monitor the payroll inbox and helpdesk queue, provide first-level responses to routine payroll questions, and escalate more complex issues as needed
Review, sort, and route incoming payroll mail, forms, and requests, and escalate time-sensitive or non-routine items to the appropriate team member
Help employees with direct deposit setup, self-service portal navigation, and tax withholding updates using established resources and processes.
Complete post-payroll activities, including standard audits, reconciliations and follow-up on identified issues.
Compliance & Reporting
Prepare recurring payroll reports and supporting documentation for internal stakeholders, including month-end and quarter-end reporting for Finance
Follow established payroll procedures and controls to support compliance with federal, state, and local wage and tax requirements
Assist with payroll audits, reconciliations, year-end activities, and other compliance-related reporting as needed
What we’re looking for
Bachelor’s degree (Finance or Accounting preferred)
1-3 years of payroll experience
Proficiency with Microsoft Office, especially Excel
Familiarity with ADP Workforce Now
Ability to work both independently and within a collaborative team environment
Excellent interpersonal skills
Strong analytical, teamwork and organizational skills
Positive, enthusiastic energy with a desire to learn
Excellent written and verbal communication abilities
Proven ability to manage confidential information with integrity
Capacity to adapt to shifting priorities and thrive under pressure

Individual compensation packages are based on a few different factors unique to each candidate, including primary work location and an evaluation of a candidate’s skills, experience, market demands, and internal equity.
