Job Overview
We are currently seeking an experienced Event Coordinator to manage our small and mid-size events. Our events occur throughout the Bay Area and US, and the Event Coordinator will have the responsibility of managing all aspects of planning and management for their assigned events.
The event coordinator will work closely with their clients to fully understand the vision for the event and establish a realistic budget.
The Event Coordinator also supports our Founder & Creative Director on various High-Profile events, as needed.
A successful candidate will be extremely organized and be able to manage the logistics of multiple events simultaneously in a dynamic environment.
The Event Coordinator will report to the Creative Director and Chief Production Officer. This position can be offered as salaried or hourly.
Job Duties
Support the procurement of new clients
Maintain a working relationship with vendors and venues.
Manage end-to-end event details, including but not limited to rentals, props, design, venue, seating, dining, entertainment, guest speakers, and guest list, as needed.
Delegate event planning tasks to other staff members where necessary.
Attentive to the value of staying under budget while planning event specifications.
Issue invoices and collect payments in a timely manner and create comprehensive and readable financial reports.
Maintain current knowledge of Bay Area venues and vendor offerings
Oversee events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, coordinating with vendors, and managing take-down.
Create sales opportunities for future events during client liaisons and during events.
Propose and follow through on initiatives to improve production workflows
Skills and Qualifications
Required
A proactive and pragmatic approach to problem solving
Ability to work in-person from our office in San Francisco (94108)
1 to 3 years of event management experience
Ability to juggle multiple priorities in a dynamic environment
Excellent communication skills in person, on video and phone calls, and over email and messaging
Confident in asking for help and delegating tasks
Comfortable with MS Word, Excel, PowerPoint, Outlook and general computer fluency
Proven ability to implement process improvement initiatives
Work Authorization for employment in the US
Ability for a flexible schedule, weekend and early morning/night hours, as needed
Must be able to lift at least 25 pounds
Preferred
Experience creating graphics and mock-ups with Adobe Illustrator and/or Photoshop
Knowledge of San Francisco Bay Area community, events, venues, and vendors
Hands on experience with event and rental management software and databases
Working knowledge of Spanish
Salary and Benefits
Pay to be set according to experience. Minimum salary of $52,000/year or $25.00/hour.
