Administrative Specialist Front Desk
Job Summary
Present and maintain a professional front office and bistro. Provide administrative and general office support. A successful Administrative Specialist Front Desk will answer and direct incoming calls, organize and distribute prizes and work tango products, greet and direct visitors, handle incoming and outgoing mail, do mail metering, order supplies, assist with vendor and fleet management, and complete administrative tasks for other departments when needed.

Key Responsibilities
Maintain a professional, courteous, and positive environment in the office by greeting, welcoming, directing, and announcing visitors; as well as answering, screening and directing incoming phone calls.
Complete daily mail processes, by receiving mail/deliveries and notifying employees. Coordinate courier requests and meter outgoing mail daily.
Data entry and administrative support.
Process pickup and return of fleet vehicles.
Assist in the planning and preparation of meetings including room reservations and coordinating food and beverages.
Work with vendors to coordinate the repair and maintenance of office equipment, maintain and schedule office processes (such as window cleaning, shred pickups, etc.). Order, receive, stock, and distribute all office and caf supplies.
Provide support in maintaining meeting rooms, common areas and the bistro. Responsible for morning preparations and evening responsibilities in the bistro and office, as assigned. Ensure the reception area is clean and free of clutter and front doors are kept clean throughout the day.
Support Business Director and Operations Director with the collection and coding of receipts and expense report preparation.
Provide administrative back-up for other departments, as assigned. Assist with tasks and/or projects as requested to increase efficiency of the organization.

Able to perform functions described in job responsibilities.
Able to lift 50 pounds and assist with lifting, transferring, or moving packages up to 100 pounds with the assistance of equipment.
Able to operate general office equipment and a computer including typing, learning new software applications and programs as related to performing job functions.
Able to attend work as required by position assignment including working a flexible schedule to support team as needed.
Able to work in a highly stressed, fast-paced environment.
Able to effectively manage competing priorities.
Job Requirements/Desired Education and/or Experience
High school diploma or equivalent required.
One year of office experience required.
Familiar with commonly used office management concepts, practices and procedures required.
Intermediate skills with Microsoft Office Suite required.
Notary public certification within 6 months of employment required.
