Church Administrator

Position Summary: Peace Lutheran Church in Wayland, MA (a progressive, flexible and welcoming community of faith) is seeking a professional, detail-oriented Church Administrator to oversee the essential financial, communicative, and operational functions of our congregation. The ideal candidate will provide steady operational support to the pastor and the church community, ensuring that both our financial records and our physical worship environment are maintained with excellence.ScheduleHours: 8 hours per week, performed on-site Schedule: Workdays are open for negotiation (in conversation with the pastor) but should remain consistent once established.Position QualificationsFinancial & Tax Management: Proficient in QuickBooks and Excel for AP/AR, payroll, bank reconciliations, and tax compliance (1099/W2).Administrative Oversight: Experience managing calendars, confidential records, and correspondence with demonstrated attention to detail.Operations & Contracts: Ability to coordinate and manage building maintenance, supply inventory, and vendor contract research.Communication and Publication: Skilled in basic website maintenance and the layout/design of programs for bulletins and inserts.Collaboration & Diplomacy: Posses the skills to work collaboratively with various people (pastor, committee members, vendors, general public etc.) with a welcoming, diplomatic tone.Efficiency: Self-starter capable of prioritizing technical, creative, and physical tasks within an 8-hour weekly window.Key ResponsibilitiesFinancial Management & ComplianceExecute all accounts payable and receivable using QuickBooks.Maintain accurate records of weekly pledges and contributions in QuickBooks and Excel.Perform monthly bank reconciliations and record digital deposits.Prepare and present monthly financial reports for the Church Council.Manage employee payroll, annual tax forms (1099/W2), and mandated quarterly reporting.Support annual budget preparation and quarterly investment account updates.Communications & Office AdministrationServe as the primary contact for all physical and digital correspondence.Manage and update church directory and membership rosters.Coordinate the master calendar in collaboration with church leadership.Manage vendor and service provider contracts for facility maintenance.Process and distribute semi-annual giving statements to the congregation.Worship SupportCollaborate with the Pastor and committees to develop seasonal bulletins and weekly inserts, as well as liturgical leadership materials Oversee the physical production and assembly of all worship documents.Facilities OperationsMonitor and replenish essential building and office supplies.Maintain a log of building maintenance and coordinate repairs with the Property Team.Attend monthly Property Team meetings to support cohesive facility management.Track specific billing and logistics for shared building use with community partners.
